Description of Work

The primary purpose of this position is to serve as the office coordinator for the Diagnostic Services Branch.

This position provides administrative and clerical support to ensure the efficient operation of the branch.

Responsibilities include performing general office duties; preparing typing and proofreading reports submitted to sentencing courts and other correspondence; assisting with the preparation of materials for trainings meetings and audits conducted by Diagnostic Specialists; collecting and maintaining data; managing and organizing electronic files within the I-drive; operating standard office equipment; answering and directing telephone calls; taking accurate messages; and providing additional administrative support to the Diagnostic Services Branch as needed.

Proofread documents for accuracy grammar punctuation spelling formatting and typographical errors to ensure a high level of quality and professionalism.

Maintain a high level of accuracy attention to detail and organization while managing multiple assignments and meeting established deadlines.

Knowledge Skills and Abilities/Management Preferences

Salary Range: $31200.00 - $51249.00

The Knowledge Skills and Abilities (KSAs)/ Management Preferences are not required. Applicants who possess the following skills are preferred:

  • Documented experience with verbal and written communication skills including professional telephone etiquette and exceptional customer service.
  • Documented advanced computer proficiency and working knowledge of Microsoft Office Suite and other standard business software applications.
  • Documented ability to prepare edit format and produce a variety of correspondence reports forms and other documents using advanced word processing skills.

The Diagnostic Services Branch is the Section of Prisons operation responsible for monitoring and providing staff support to the six diagnostic centers and ensuring their compliance with policy and procedure. A major facet of this obligation is to interpret policy and the General Statues as they relate to the processing of newly admitted offenders in the custody of the Division of Adult Correction. The diagnostic centers are located in various parts of the state and are charged with the processing and assignment of all offenders sentenced to the custody of the Division of Adult Correction and the processing of all safekeepers. The branchs supportive role includes staff training providing policy and procedural instructions review of electronic files and formal annual center evaluations. The branch provides information regarding the number of admissions days in processing and other statistics when requested to do so. The primary function of the Diagnostic Service Branch is the direct management of the Presentence Diagnostic Program (PSD). We also provide oversight and training with regards to required DNA testing of all felon offenders and appropriate misdemeanants for the Division of Prisons.
