CONTACT INFORMATION:Human Resources or SUMMARY/SCOPE: Thepart-time Administrative Assistant will be responsible for ensuring that theinternal functions of the athletic training and speech-language pathologyoffices are operating smoothly and effectively. This employee is responsiblefor assisting in the daily and special functions of the office as it relates tothe community and Hardin-Simmons University. HSU JOB FAMILY CLASSIFICATION INCLUDES THE FOLLOWING:
ESSENTIAL DUTIES AND RESPONSIBILITIES:These examples do notinclude all possible tasks & do not limit the assignment of related tasks. Assists with maintaining computer databases for ATand SLP departments. Assists with correspondence and travel arrangementsfor the AT and SLP departments. Assist with departmental & campus activitiesincluding recruitment clinic and continuingeducation programs. Assists with assignments from AT and SLP faculty. Follows University & Departmental safetyregulations and maintains confidentiality of records. Assists incommunication with prospective students current students & otheruniversity/program-related people including other campus administrativeassistants. Assists with collection organization and updating relevantdata using various administrative software applications including AdobeCreative Cloud & Microsoft Office suite (including Microsoft Teams) toassist program directors & faculty with letters emails spreadsheetsother documents reports & forms. Assists with distributionof questionnaires and collection of program statistical & other data foritems related to program accreditation. Assist with studentcourse registration & collection of data for and maintenance of studentrecords for student degree plans/academic files academic advising courserosters etc.& coordinating student information with appropriate on- andoff-campus personnel/offices. Assists the SLP and AT program directors in organizinginformation on adjuncts overload or online instructors required for eachdepartment. Ensure the deans office has appropriate and correct information togenerate contracts for all adjunct instructors faculty overload onlineinstructors and employee payment requests. Assist the SLP and AT program directors and faculty withcourse scheduling as well as scheduling individual departmental and otherUniversity meetings travel community events and committee priority for these events according to urgency is essential. Assists with promotion and marketing for the athletictraining and speech-language pathology departments. Provide professional and confidential assistance to theAthletic Training and Speech-Language Pathology program directors and facultyincluding attending relevant departmental meetings to take minutes. Maintain a professional efficient office environment andensure effective working relationships with all HSU faculty and staff andcommunity partners. Assists the AT and SLP program directors with budgetaryoperations including submitting requisitions making depositsordering/purchasing supplies verifying delivery maintaining receiptstracking monthly expenses and budget planning. Assist the administrative assistant to the dean of theCollege of Health Professions with needs regarding any credit card receipts andensure expenses are appropriately charged to the correct departments if needed. Assist with intake and all requirements for scheduling ofpatients for the SLP clinic. Other duties may be assigned based on departmental needs. SUPERVISORYRESPONSIBILITIES: Thereare no supervisory responsibilities for this position except for assistingwith oversight of student workers in the department. KNOWLEDGE SKILLS & ABILITIES (Language Mathematical Reasoning and Computer Skills): LANGUAGE SKILLS: Ability to read and interpret documents such as safetyrules operating and maintenance instructions and procedure manuals. Abilityto write routine reports and correspondence. Ability to speak effectivelybefore individuals or groups of customers or employees of the organization. MATHEMATICAL SKILLS: Ability to add subtract multiply and dividein all units of measure using whole numbers common fractions anddecimals. Ability to compute rateratio and percent and to draw and interpret bar graphs. REASONING ABILITY: Ability to solve practical problems and dealwith a variety of concrete variables in situations where only limitedstandardization exists. Ability tointerpret a variety of instructions furnished in written oral diagram orschedule form. COMPUTER SKILLS: Toperform this job successfully an individual should have knowledge of WordProcessing software; Spreadsheet software; Payroll systems and ContactManagement systems. Order processing systems; Internet software; Human Resourcesystems; Design software and Contact Management systems. EDUCATION/EXPERIENCE: High School Diploma or GED required bachelorsdegree preferred. 3-5 years of related experience and/or trainingpreferred. Must have the abilityto perform multiple tasks in a fast-paced/multifaceted office environment. Mustbe able to organize files and maintain records. Must be detail oriented andfollow through on projects/tasks until completion. Mustinteract with donors students visitors staff faculty and exhibitinterpersonal skills including the ability to answer questions assist withsolving problems and work with supervisors to help resolve difficult situations. Mustcommunicate professionally both orally and in written form. Must be able toprepare correspondence with or without guidance from supervisor depending onthe circumstances. Must have good proofreading skills and attention to be comfortable and proficient using technology such as email instantmessage etc. Must understand and maintain confidentiality of sensitiveinformation records etc. The above requirements will bevalidated through the written competencies provided by the applicant inaddition to the interview process and reference checks regarding pastemployment experience etc. CERTIFICATES LICENSES REGISTRATIONS: None are required for this position at this time. PHYSICAL REQUIREMENTS: This position issedentary in nature. Must be able to sit for long periods of time whileperforming office and computer operations. ADDITIONAL INFORMATION: This is aNon-Exempt/Hourly Part-Time/No Benefits Staff position. This is a splitposition which is scheduled for 29 hours per week (14.5 hours in AthleticTraining and 14.5 hours in Speech-Language Pathology Departments). This positionmay require occasional evening/weekend work in order to meet internal and/orexternal deadlines. All hoursworked beyond 40 hours in a single work week will be compensated at time and ahalf per FLSA guidelines. Must have andmaintain a valid Class C Drivers License and maintain a clear driving recordto be insurable under the university liability policy. Must be able todrive to complete work assignments on and off campus as needed.
