    Administrative Assistant to Facilities & Technology

    Title: Administrative Assistant to the Facilities and Technology Directors
    Work Year: 12-Month Part Time 25 hours/week
    Department: Facilities
    FLSA Status: Represented Non-Exempt
    Reports To: Director of Facilities
    Salary Range: Level 5
    Hourly Rate: $29.19 ï½ 30.89

    Position Overview:

    The Administrative Assistant to the Facilities and Technology Directors provides high-level administrative and confidential support to the Facilities and Technology Directors with a majority focus on the Facilities department. This position performs complex clerical organizational financial and coordination duties requiring independent judgment discretion and strong organizational skills.

    The role supports facilities operations and communications and assists with budgetary and record-keeping responsibilities to ensure the efficient operation of the facilities department.

    Key Responsibilities:

    Administrative Support

    • Provide administrative support to assist in coordinating daily operations of custodial maintenance and repair staff.
    • Screen telephone calls respond to inquiries and refer matters to appropriate supervisors.
    • Provide task direction to clerical assistants on assigned projects.
    • Provide other duties as assigned.

    Budget and Financial Management

    • Assist in preparation of annual budget recommendations.
    • Monitor approved budget accounts and maintain accurate financial records.
    • Process purchase orders and enter transactions into the accounts payable system.
    • Match invoices with purchase orders and maintain accurate payment records.
    • Keep the Director informed of account balances and budget status.

    Facilities Operations and Service Coordination

    • Receive log and dispatch emergency and routine service calls from schools Central Office and the public.
    • Monitor service requests and follow up to ensure timely completion.
    • Locate and dispatch personnel and equipment as required.
    • Maintain custodian attendance sick leave and vacation records.
    • Maintain student accident reports.

    Education & Experience:

    • High school diploma required.
    • Associates degree in Business Administration Secretarial Science or related field.
    • Minimum of 5 years of increasingly responsible office administrative experience preferably in a school environment.
    • Additional experience may be substituted for education requirements.

    Knowledge Skills and Abilities:

    • Ability to maintain confidentiality and exercise sound professional judgment.
    • Working knowledge of modern office practices procedures and administrative systems.
    • Ability to acquire and apply knowledge of Board of Education policies procedures and educational philosophy.
    • Ability to acquire and apply knowledge of educational laws regulations and policies.
    • Strong organizational skills and ability to manage multiple priorities and deadlines.
    • Ability to analyze administrative processes and recommend operational improvements.
    • Proficiency in Microsoft Office Google applications and ability to learn district-specific software applications.
    • Ability to utilize the district email system and related technology platforms.
    • Ability to perform clerical accounting and bookkeeping functions accurately.
    • Ability to interpret written oral and schedule-based instructions.
    • Strong communication and interpersonal skills.

    Physical and Cognitive Demands:

    Work in this classification is performed primarily in an office environment with routine and intermittent exposure to computer screens. The position requires repetitive motions associated with operating office equipment and computer systems. The employee may be required to lift and move light to medium weights such as office supplies or equipment.

    Visual acuity correctable to 20/20 and hearing correctable to within normal limits are required. The position may involve moderate stress related to deadlines emergency service coordination and governance timelines.
