Definition of Classification:
The Administrative Assistant Support Services provides administrative and operational support for Disability & Accessibility Services (DAS) Counseling Services and the Office of Equity & Title IX through a shared administrative support model. The position serves as the primary front desk representative for these offices and coordinates daily administrative operations scheduling confidential records communications and office logistics while providing excellent customer service to students faculty staff families and visitors.
The position works collaboratively with professional staff to support the delivery of services while maintaining strict confidentiality and ensuring efficient office operations. The position also provides occasional administrative support for the SSC for shared administrative needs including for the University of Redlands Los Angeles SSC support as needed.
Duties and Responsibilities:
The duties and responsibilities include but are not limited to the following:
Shared Administrative Operations
Coordinate daily office operations.
Provide front desk reception and customer service.
Answer phones respond to inquiries and direct visitors appropriately.
Schedule appointments meetings and events.
Maintain calendars and shared schedules.
Prepare routine correspondence reports and forms.
Order supplies and coordinate purchasing.
Maintain departmental records and filing systems.
Assist with departmental communications.
Coordinate meetings and special events.
Disability & Accessibility Services
Provide administrative support for Disability & Accessibility Services including:
Maintaining confidential student records.
Assisting with the scheduling of student appointments when needed.
Coordinating accommodated testing schedules and logistics.
Conducting proctoring of accommodated examinations.
Coordinating transportation accommodations including managing the schedule for golf cart transportation and operating the department golf cart.
Assisting with assistive technology and equipment support and logistics.
Supporting outreach educational programming and events.
Communicating with students faculty staff visitors and families as needed.
General administrative support to the Director of Disability and Accessibility Services.
Other administrative duties as assigned.
Counseling Services
Provide administrative support by:
Assisting with the scheduling of student appointments when needed.
Maintaining and organizing records.
Supporting office operations.
Assisting with communications.
Coordinating workshops and outreach activities.
Handling walk-in students and triaging crisis situations to appropriate personnel as needed.
General administrative support to the Director of Counseling Services
Other administrative duties as assigned.
Office of Equity & Title IX
Provide administrative support by:
Scheduling meetings and hearings.
Organizing confidential records.
Preparing administrative and hearing materials evidence packets and other documents.
Coordinating educational programming or training.
Supporting office communications and operations.
General administrative support to the Director of the Office of Equity and Title IX Coordinator.
Other administrative duties as assigned.
Shared Student Success Center Support
Provide limited administrative support for shared Student Success Center operations including purchasing office logistics tutoring support departmental meetings and student employee administrative processes.
Provide general administrative support to the Associate Dean of Student Success and Accessibility.
Provide support for Student Affairs events and programs admissions and recruitment events new student orientation and other institution-wide initiatives events and/or programming.
Qualification Guidelines
Any combination equivalent to but not limited to the following:
Experience/Training/Education:
Required
- Associate degree required; bachelors degree preferred.
- A minimum of three years of administrative support experience preferably in an education context.
- Excellent organizational and communication skills.
- Demonstrated ability to manage confidential information.
- Proficiency with Microsoft Office and standard office technology.
Preferred Qualifications
- Experience in higher education.
- Experience supporting student services or compliance-related offices.
- Experience with student information or case management systems.
Knowledge and Skills:
- Excellent interpersonal and customer service skills.
- Strong organizational and time-management abilities.
- Ability to manage multiple priorities.

Physical Requirements/Working Conditions:
Working Conditions:
Standard office setting. Duties performed are primarily in an office environment while sitting at a desk or computer workstation or in meetings. At least minimal environmental controls to assure health and be willing and able to travel and to work non-traditional hours including nights and weekends as required.
Physical Demands:
Incumbents regularly sit for long periods; walk short distances on a regular basis; use hands and fingers to operate an electronic keyboard or other office machines; reach with hands and arms; stoop or kneel or crouch to file; climb stairs; speak clearly and distinctly to answer telephones and to provide information; see to read fine print and operate computer; hear and understand voices over telephone and in person; and lift carry and/or move objects weighing up to 20 pounds.

HIRING RANGE:Anticipated hiring range is near or at the minimum of the classification commensurate with candidates education experience skills and training. The University of Redlands is required to provide a reasonable estimate of the compensation range for this role. This range considers the wide range of factors that are considered in making compensation decisions including but not limited to experience skills knowledge abilities education licensure and certifications and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position is defined as theHiring Range. Placement within the Hiring Range is determined by internal equity and relevant qualifications.
BACKGROUND CHECK:Satisfactory completion of a background check (including a criminal records check) is required for employment. DRIVERS LICENSE CHECK:Possession of a valid Drivers License is required for certain positions. PHYSICAL AND PSYCHOLOGICAL EXAMS:For certain positions typically in Public Safety Facilities Athletics and Information Technology Services departments employment is contingent upon a candidate passing a pre-employment physical exam with the ability to lift in excess of 50 Safety Officers in addition to a pre-employment physical exam will also be required to pass a psychological evaluation.
