Description:

The Administrative Assistant at The Oaks Assisted Living Facility serves as the first point of contact for residents families visitors and staff. This role is responsible for creating a warm welcoming environment while providing administrative and clerical support to ensure efficient front desk operations. The ideal candidate demonstrates excellent customer service skills strong organizational abilities and a compassionate approach to working in a senior living setting.

Key Responsibilities:

  • Greet visitors and direct them to the appropriate departments or personnel with warmth and professionalism.
  • Answer and manage incoming phone calls emails and mail correspondence.
  • Assist in scheduling appointments meetings and maintaining calendars for leadership staff.
  • Maintain accurate and organized filing systems including resident records and administrative documents.
  • Prepare letters reports and other documents as needed.
  • Support human resources functions including onboarding new employees and maintaining personnel records.
  • Order office supplies and maintain inventory levels.
  • Assist with billing data entry and basic bookkeeping tasks.
  • Collaborate with various departments to ensure administrative needs are met.
  • Uphold the mission and values of the Sanctuary of Holy Cross in all interactions.

Qualifications:

  • High school diploma or equivalent required; associates degree preferred.
  • Minimum of 2 years of administrative or clerical experience preferably in a healthcare or long-term care setting.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Ability to work independently and as part of a team.
  • Compassionate demeanor and commitment to serving the needs of residents and staff.
  • Knowledge of medical terminology and healthcare systems is a plus.
