The Administrative Assistant II is responsible for providing comprehensive support to the Chief Marketing Officer and Marketing leadership team. The incumbent plays a key role in ensuring the organization operates smoothly by managing priorities supporting leadership coordination and maintaining strong execution discipline across a fast-paced department. This role requires professionalism strong judgment and the ability to handle sensitive information while interacting with all levels of the organization.

Job Responsibilities:

  • Provide administrative and operational support to the Chief Marketing Officer including calendar management meeting coordination and travel arrangements.
  • Support leadership team through meeting coordination and other administrative support.
  • Coordinate all marketing team meetings and marketing-hosted meetings including preparing agendas compiling materials and tracking follow-ups and action items.
  • Serve as a central point of coordination for the Marketing team helping maintain alignment across leaders and functions as priorities evolve.
  • Process vendor invoices and support billing activities ensuring timely and accurate submission and follow-through.
  • Track marketing spend to support visibility into budgets and expenses.
  • Manage travel and expense (T&E) reporting for the CMO and leadership team.
  • Act as a liaison between the CMO internal stakeholders and external partners as needed.
  • Maintain confidentiality for matters that may be proprietary financial or sensitive in nature.
  • Assist with coordination of team initiatives or projects as needed to support execution and organization-level priorities.
  • Perform other duties as assigned.

Minimum Qualifications:

  • Must have a high school diploma or equivalent.
  • Must have 510 years of experience as an Administrative and/or Executive Assistant supporting senior leadership.
  • Must be proficient in Microsoft Office (Word Excel PowerPoint Outlook).
  • Must have excellent organizational skills and attention to detail.
  • Must have strong communication skills both written and verbal.
  • Must be able to operate independently while managing multiple priorities.
  • Must demonstrate strong judgment discretion and professionalism.
  • Must be comfortable working in a fast-paced high-energy environment with shifting priorities.

Salary Range:

$45250.00 - $74338.75

Individual base pay may vary on additional factors such as the candidates experience job-related skills relevant education geographic location and other specific business and organizational needs.
