Job Description:
As an Administrative Assistant II you will provide administrative and clerical support to the Military Legal Office while ensuring the accurate preparation processing and maintenance of legal correspondence reports and records. You will work closely with military personnel civilian staff and outside organizations to facilitate efficient office operations and ensure compliance with Navy administrative procedures.
Duties and Responsibilities:
Prepare military correspondence memorandums reports letters emails and other official documentation.
Develop and maintain Microsoft Excel spreadsheets databases and administrative tracking tools.
Create organize maintain and archive electronic and hard-copy files.
Screen telephone calls greet visitors and direct inquiries to the appropriate personnel.
Research administrative matters and communicate with internal and external organizations to obtain required information.
Prepare reports summaries forms and documents for signature by Military Legal leadership.
Maintain office records and ensure documentation complies with Navy administrative requirements.
Compile production statistics and administrative reports.
Identify workflow issues and provide recommendations for improving office efficiency.
Utilize Microsoft Office Suite SharePoint and other government software applications.
Perform administrative research and relay findings to military personnel and management.
Support day-to-day operations of the Military Legal Office while maintaining confidentiality and professionalism.
Other related duties as assigned.
Required Qualifications:
Associates Degree in Business Administration or a related field.
Minimum three (3) years of military administrative experience within a Military Legal office.
Working knowledge of current Department of Defense and U.S. Navy correspondence requirements.
Experience preparing official Naval correspondence.
Proficiency using Microsoft Word Excel Outlook PowerPoint Access and SharePoint.
Familiarity with:
Military Personnel Manual (MILPERSMAN)
Judge Advocate General Manual (JAGMAN)
Uniform Code of Military Justic (UCMJ)
Excellent written and verbal communication skills.
Strong organizational abilities and attention to detail.
Ability to prioritize multiple tasks while meeting deadlines.
Ability to work independently and collaboratively within a government office environment.
Must be legally authorized to work in the United States without the need for employer sponsorship now or at any time in the future.
Expected Pay Rate: $32.04 per hour
