Job Summary
The Administrative Assistant provides essential administrative and front-office support to the department ensuring efficient daily operations and delivering exceptional customer service to internal and external stakeholders.
Key Responsibilities:
- Welcome visitors and coordinate meetings with department personnel maintaining a professional and organized front-office environment.
- Review and process vendor invoices for payment verifying costs and ensuring accurate entry of tax and freight charges in JD Edwards (JDE).
- Create and manage internal requisitions for departmental supplies and third-party purchases.
- Request and maintain current Certificates of Insurance (COIs) from suppliers to support compliance requirements.
- Upload and maintain required documentation on the departments shared site ensuring records are accurate and accessible.
- Provide general administrative support including document preparation record management scheduling and other departmental tasks as assigned.
- Collaborate with internal teams and external vendors to support departmental objectives while maintaining accuracy confidentiality and attention to detail.
This position requires strong organizational skills attention to detail effective communication and the ability to manage multiple priorities in a fast-paced environment while maintaining a high level of professionalism
