Administrative Assistant / Front Office Coordinator
Community Home Health Care is seeking a friendly organized and dependable Administrative Assistant to serve as the welcoming face of our office. This position is ideal for someone with an outgoing personality who enjoys helping others working with a team and supporting the daily flow of a busy healthcare office.
Key Responsibilities
- Greet clients employees applicants vendors and guests in a warm and professional manner
- Answer screen and direct incoming telephone calls
- Assist visitors and staff with questions or connect them with the appropriate department
- Provide administrative support to management human resources scheduling nursing and other departments
- Prepare correspondence forms reports flyers and office communications
- Create engaging employee newsletters announcements and recognition materials
- Assist with onboarding paperwork employee files training materials and document collection
- Receive sort and distribute mail deliveries faxes and office documents
- Maintain an organized professional and inviting front-office area
- Schedule appointments meetings interviews and office activities as needed
- Enter information accurately into company systems and spreadsheets
- Maintain confidentiality of employee and client information in accordance with HIPAA and company policies
- Monitor office supplies and assist with ordering when necessary
- Help coordinate employee events celebrations and staff-engagement activities
- Assist multiple departments and adjust priorities based on the needs of the office
- Complete additional administrative duties as assigned
Qualifications
- Previous administrative receptionist customer-service or healthcare-office experience preferred
- Friendly positive and outgoing personality
- Strong verbal and written communication skills
- Creative ability to develop newsletters flyers and office communications
- Excellent organizational and time-management skills
- Able to multitask in a busy environment while maintaining accuracy
- Dependable professional and willing to help wherever needed
- Comfortable working independently and as part of a team
- Proficient with Microsoft Word Outlook Excel and general office technology
- Able to handle confidential and sensitive information appropriately
- High school diploma or equivalent required
