Job Summary
Job Summary:Manage the Student Development Office and provide positive hospitable customer service as the face and first impression of the office in person online and on the phone. Show compassion to students and work on special projects as needed or assigned. Nurture a welcoming office climate. This is a full-time 12-month position 8am 5pm Monday Friday with occasional Saturdays during special events such as New Student Orientation move-in days or Pioneer Days.
Essential Duties and Responsbilities
- First point of contact for the Student Development Office and Student Counseling Services.
- Provides administrative support for the VP and the Directors of Residential Life Student Life and Student Counseling and Wellness.
- Provides coverage for the front desk including answering phones transferring calls and taking messages; sends and receives faxes and emails on behalf of the staff.
- Helps students schedule counseling appointment sends paperwork and helps manage intern schedules and online software platform.
- Processes check requests/requisitions and reconciles credit card statements and expense reports.
- Manages student ID cards including access assignment and usage reports.
- Generates presentations and records meeting minutes when needed.
- Facilitates the daily routine of the office receives students and visitors orders office supplies reports maintenance issues schedules meetings and manages collaboration spaces.
- Oversees student worker assignments and performance.
- Assists in the coordination control and completion of special projects as requested.
- Assesses and assists with student needs as they are presented.
- Processes and maintains accurate records.
- Works effectively with faculty and staff across various university departments.
- Enters student information electronically.
- Assists with student housing assignments.
- Maintains office upkeep and cleaning of the office area conference room storage room and kitchen.
- Additional duties as assigned
Qualifications
Qualifications/Skill Required
- Ability to multi-task.
- Strong organizational skills with attention to detail.
- Professional communication and interpersonal skills.
- Establishes and maintains hospitable working relationships with others.
- Solid computer skills including all Microsoft Office products with the ability to quickly learn and adapt to new software applications.
- Proven ability to work effectively both independently and as part of a team.
- Ability to work under pressure and handle highly confidential material.
- General knowledge of MidAmerica Nazarene University.
Education and/or Experience
- 3 to 5 years of progressive administrative support experience.
- College degree preferred.
- Experience and skill with software such as Microsoft Word and Excel; experience with Banner Adobe InDesign Photoshop and FileMaker Pro preferred.
