Job Summary
At Tree Trust we focus on transforming lives and landscapes through three divisions: Career Pathways Community Forestry and Landscape Services.
This position is located in our Landscape Services division which offers professional tree care and landscaping services at market rates with the profits supporting other Tree Trust programs including green industry skills and employment-readiness training to youth and young adults and Twin Cities urban canopy restoration initiatives.
From simple projects to complex designs Landscape Services has the experience to complete tree and landscape projects to the highest standards on time and on budget.
An excellent administrative assistant is key to the success of our thriving business. You will be professionally challenged by performing a wide range of administrative activities for managers in our Landscape Services department.
We are looking for an individual with initiative and creativity to develop and grow this position.

- This position pays within the range of $21.40 - $25.40 per hour depending upon qualifications and experience.
Essential Functions:
General Administrative Duties:
- Provide excellent customer service answering and routing phone calls acting as the initial point of contact responding to and forwarding emails and diplomatically managing public inquiries.
- Communicate tree care schedule to customers.
- Manage office space and equipment. This includes office organization light cleaning duties and ordering supplies.
- Schedule employee attendance for continuing education workshops and certification testing.
- Document workflow for a variety of tasks using process mapping.
Scheduling Duties:
- Schedule sales arborists customer visits.
- Manage the tree care schedule by collaborating with the tree care production manager and the sales arborists.
- Send schedule updates to customers.
Data Entry Duties:
- Review staff data entries for timekeeping and equipment use to ensure accuracy.
- Update materials vendors subcontractor and equipment data in estimating and timesheet software.
- Run data reports from estimating and time sheet software.
- Track personnel information includingPPE (personal protective equipment) allocations.
Qualifications/ Skills Required
- High School Diploma or equivalent is required.
- One two years of administrative support experience to include customer service and data entry.
- Excellent organizational skills and the ability to manage multiple projects.
- Strong verbal communication skills with customers clients and staff.
- Ability to prioritize tasks while being thorough and detail oriented.
- Ability to take work direction from multiple managers.
- Ability to use analytical thinking to make decisions.
- Advanced knowledge of Microsoft Office software.
- Experience exercising discretion and confidentiality with sensitive company information.

- Current drivers license and a clean driving record as determined by Tree Trusts insurance carrier.
- Must be able to pass a criminal background check.

Work Environment:This position is primarily office-based and involves working independently in an administrative setting. The employee spends most of the workday sitting at a computer using office equipment such as a computer printer scanner and occasionally driving a company pickup truck. The role requires regular interaction with customers and staff through phone email and other communications. Occasional exposure to outdoor conditions may occur including walking on uneven ground and limited exposure to noise dust odors and temperature fluctuations. Consistent attendance schedule adherence organization and the ability to maintain focus throughout the workday are essential.
Physical demands: The position is classified as primarily sedentary requiring continuous sitting and repetitive use of hands and arms for keyboarding typing and other computer-related tasks. Occasional standing walking bending reaching crouching kneeling balancing pushing/pulling and grasping are required. The employee must possess good hand-eye coordination and fine motor skills. Occasional lifting and carrying office materials and supplies up to 50 pounds may be necessary although most physical activities involve light-duty office work. Frequent verbal communication and the ability to sustain concentration throughout the day are also required.
