The Position
Process Instruments is seeking an Administrative Assistant who is professional proactive and capable of handling multiple administrative tasks while maintaining a positive and productive office environment.This is an in-office role based in the Pittsburgh PA location.
Job Description
The Administrative Assistant will work both independently and with other office staff on the team. The ideal candidate should have experience working in the customer service department and be comfortable sitting down for the majority of the the Administrative Assistant will be a self-starter possess good interpersonal and communication skills (verbal and written) as well as have computer competency.
Responsibilities
- Assist with administrative tasks such as filing data entry and documentation
- Help manage Accounts Receivable and Accounts Payable and collections
- Quote customers in a timely professional manner
- Schedule incoming equipment for calibration labs
- Reach out to customers via telecommunications or email (Not cold calling)
- Answer phone calls emails and scheduling inquiries professionally
- Obtain quotes and purchase orders from other labs/manufacturers
- Review and acknowledge customer purchase orders
- Maintain accurate scheduling records and databases
- Ability to lift up to 50lbs
- Other duties as necessary
Qualifications
Education And Experience
- High School graduate / or equivalent required
- Associates degree from college or technical school preferred; or at least one (1) year related experience and/or training or equivalent combination of education and experience.
Preferred Experience
- Microsoft Office literate (Excel Word Outlook)
- Experience with CRM (MET/TEAM)
- Utilize Accounting software (Sage 50)
- Experience with Shipping software programs (FedEx & UPS)
- Organizational skills
- Time Management
- Strong customer service skills
