Dixon Correctional Institute is seeking a highly organized detail-oriented Administrative Assistant to provide professional clerical and administrative support within a fast-paced correctional environment. The ideal candidate is dependable able to manage multiple priorities and committed to supporting the facilitys mission of safety security and rehabilitation.Key responsibilities include preparing and maintaining records and reports coordinating daily office operations assisting staff and visitors managing correspondence and ensuring accurate and timely data entry. Strong communication skills proficiency with standard office software and the ability to work effectively with diverse groups are essential.

- Four years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. - Job Specification

- Job Duties and Other Information
Job Duties:
Provide clerical and administrative support to departmental staff including preparing correspondence reports forms and other documents.
Maintain accurate filing systemsboth electronic and physicaland ensure records are organized updated and accessible.
Enter and verify data in internal databases tracking logs and state reporting systems with a high level of accuracy.
Answer and route phone calls greet visitors and provide general information in accordance with facility protocols.
Schedule meetings coordinate appointments and assist with calendar management for supervisors and departmental personnel.
Process incoming and outgoing mail including sorting distributing and preparing official documents for delivery.
Assist with inventory control by tracking office supplies preparing purchase requests and coordinating with procurement staff.
Support HR-related administrative tasks such as maintaining personnel documents organizing training records and assisting with onboarding paperwork (as assigned).
Prepare meeting materials take notes and draft summaries when needed.
Maintain confidentiality of sensitive information and adhere to all institutional departmental and state policies.
Collaborate professionally with correctional staff administrative teams and external stakeholders to support daily operations.
Perform additional duties as assigned to ensure efficient and effective office operations.Position-Specific Details:
Appointment Type:PROBATION or PROMOTION OF A PERMANENT CLASSIFIED LOUISIANA STATE EMPLOYEE
- Current permanent status classified LA State employees may be required to accept a probational appointment if accepted.
- An employee selected for a promotion may be required to serve a trial detail prior to being permanently promoted.
