Position Summary

The Administrative Support Specialist provides organized efficient administrative support to Service Coordinators and Program Managers helping ensure department operations run smoothly and documentation is accurate timely and well maintained. This role is an important part of supporting families and individuals served by the department and requires strong attention to detail organization and customer service skills.


PAY: $20/hr.

Part Time- 20 hours a week


Essential Responsibilities
  • Provide administrative support including data entry document preparation copying faxing filing distribution and mailing.
  • Collect organize and maintain documentation in accordance with department procedures and regulatory requirements.
  • Track required benchmarks and documentation to support compliance and annual audits.
  • Provide professional and responsive customer service to individuals and families served by the department addressing questions and assisting with problem-solving as needed.
  • Provide coverage for the Front Desk including greeting visitors assisting families and answering and directing phone calls.
  • Maintain confidentiality and accuracy when handling sensitive information and records.
  • Perform other duties and responsibilities as assigned.
Requirements

Education and Experience

  • Associates degree or equivalent preferred
  • A minimum of 2 years experience as an Administrative Assistant or related preferred
  • Proficiency in Microsoft Office Suite and database systems.

Skills and Abilities:

  • Demonstrate a commitment to The Moore Centers values.
  • Comply with all state agency and department policies and procedures.
  • Possess strong time management and organization skills including the ability to prioritize multiple tasks and ensure timely follow through.
  • Ability to complete basic calculations.
  • Ability to work independently and as part of an inter-disciplinary team.
  • Demonstrate creative innovative thinking and problem solving.
  • Interact effectively with people of varied educational socioeconomic and ethnic backgrounds skill levels and value systems.
  • Demonstrate the ability to persuade encourage and motivate people.
  • Demonstrate excellent verbal and written communication skills.
  • Demonstrate proficiency in Microsoft Office including Word Excel Outlook and the ability to master new software.

Staff are also required to travel and transport clients when applicable. This includes having access to a reliable vehicle a valid drivers license and maintaining personal auto insurance of$100000/300000.
