Accounts Payable Specialist

Job Title: Accounts Payable Specialist

Reports to: Chief Academic Officer

Dept./Campus: Finance Department

Classification: Clerical/Technical

Primary Purpose:

Work under close supervision and follow established procedures to maintain accounting records and process accounts payables according to standard accounting procedures.

Qualifications:

Education/Certification:

High School diploma or GED

Special Knowledge/Skills:

Knowledge of basic accounting procedures

Ability to use personal computer and software to develop spreadsheets databases and do word

processing

Proficient in keyboarding 10-key numerical data entry and file maintenance

Ability to communicate effectively

Experience:

3 years accounting-related experience at clerical level preferred

Major Responsibilities and Duties:

  • Oversee the daily accounts payables.
  • Maintain accurate records of accounts owed and monitor account balances on an ongoing basis.
  • Implement procedures to ensure timely and accurate processing of all accounts payable.
  • Review and authorize payment of invoices. Detect and resolve problems with incorrect orders invoices and shipments as needed.
  • Review department payables for accuracy including travel reports and food service orders.
Data Entry
  • Input data into accounting system.
Records and Reports
  • Prepare correspondence forms manuals reports and payment authorizations following district standards and requirements.
  • Assign work to the accounts payable staff and oversee completion
  • Work with administrators principals directors and staff regarding accounts payable issues.
  • Compile maintain and file all reports records and other documents required including auditable records.

Other

  • Receive incoming calls answer questions and direct calls to the proper party.
  • Follow district safety protocols and emergency procedures.
  • Display tolerance necessary for accepting supervision for and criticism of job performance.
  • Work in harmony with supervisory faculty and peer personnel.
  • Use professional information discreetly and judiciously.
  • Support and follow administrative and Board policy.
  • Represent the school system to the community in a positive professional way.
  • Maintain a sincere friendly attitude toward patrons.
  • Perform other duties as assigned by Chief Financial Officer.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting

Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 20 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
