The Academic Services Coordinator provides administrative and operational support for the Office of Academic Services within the College of Connected Computing (CCC). This role serves as a primary point of contact for undergraduate graduate and doctoral students providing high-quality customer service and coordinating the day-to-day administrative activities that support the student experience.

Working closely with students faculty staff and administrative partners across the College and university the Coordinator supports student services operations academic program administration event coordination communications scheduling and office operations. This position plays an important role in creating an organized responsive and student-centered environment that supports student success throughout the academic lifecycle.

The position reports to the Director of Academic Services.

About the Work Unit

The College of Connected Computing is Vanderbilts first new college in 40 years and is in the early stages of building its academic and administrative structure. The College advances interdisciplinary research and expands computing education through a computing for all approach.

CCCs academic programs serve undergraduate masters and doctoral students across a growing portfolio of degree offerings. The Office of Academic Services supports these programs by providing exceptional student services coordinating academic operations and ensuring a consistent and welcoming student experience from recruitment through graduation.


Duties and Responsibilities

Student Services and Academic Support

  • Serve as point of contact for prospective and current undergraduate graduate and doctoral students.
  • Respond to student inquiries and direct students to appropriate university and college resources.
  • Support student onboarding orientation registration and academic milestones.
  • Assist with student records documentation forms and administrative processes.
  • Coordinate student appointments meetings and academic support activities.

Academic Program Administration

  • Provide administrative support for academic programs and student services initiatives.
  • Assist with course scheduling classroom logistics and academic calendar activities.
  • Coordinate processes related to student milestones including examinations defenses graduation and other academic requirements.
  • Support faculty and academic leadership with administrative activities related to academic programs.
  • Maintain accurate student records and administrative documentation in accordance with university policies.

Events and Student Engagement

  • Coordinate logistics for student orientations recruitment events workshops commencement activities seminars and other academic events.
  • Assist with planning and execution of student engagement activities and special programs.
  • Prepare materials and provide on-site logistical support for meetings and events.

Operational and Administrative Coordination

  • Assist with procurement requests expense documentation travel arrangements and other administrative transactions supporting Academic Services.
  • Maintain office procedures calendars records and shared administrative resources.
  • Coordinate operational requests and follow up on action items.
  • Support implementation of university and college policies and procedures.
    Communications and Information Management
  • Assist with student communications newsletters announcements websites and distribution lists.
  • Coordinate timely communication regarding academic deadlines events and student opportunities.
  • Maintain shared files calendars and office resources.

Collaboration and Customer Service

  • Provide exceptional customer service to students faculty staff prospective students and visitors.
  • Collaborate with university offices to support student success and resolve administrative issues.
  • Participate in process improvement initiatives that enhance the student experience and operational effectiveness.
  • Support special projects and perform additional duties as assigned.

Supervisory Relationships

This position does not have direct supervisory responsibility but may provide guidance to student workers supporting Academic Services operations.

This position reports administratively and functionally to the Director of Academic Services and works closely with faculty program leadership and administrative partners across the College and the university.

Qualifications

  • Bachelors degree from an accredited institution or an equivalent combination of education and relevant experience.
  • Two to four years of experience in higher education administration student services academic affairs or a related field.
  • Strong organizational administrative and operational skills.
  • Ability to manage multiple priorities in a fast-paced environment with excellent attention to detail.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and demonstrated ability to work effectively with students faculty and staff.
  • Proficiency in Microsoft Office and experience working with student information systems or other administrative systems.
  • Ability to work independently exercise sound judgment and maintain confidentiality.
  • Experience supporting undergraduate graduate or doctoral academic programs.
  • Experience working in student services registrars offices advising or academic affairs.
  • Familiarity with student information systems and university administrative processes.
  • Experience coordinating student events orientations or academic programming.
  • Experience working in a collaborative fast-paced or start-up academic environment.
  • Demonstrated commitment to providing outstanding student service and fostering an inclusive student-centered environment.
