You will plan and deliver high-quality client-focused and value-for-money servicespertaining tothe Management Services portfolio that enables staff to deliver foodassistanceto beneficiaries in line with WFPs strategy.

The war in Ukraine has had drastic consequences both for people inside the country and for those around the world who depend on its food supplies. The war has caused immense suffering for civilians displaced families and disrupted supply chains and food production. It has caused one of the fastest forced population movements since the Second World War. Close to 6 million Ukrainians are still living as refugees across Europe and almost 3.6million are internally displaced. Many have lost their homes and livelihoods. As food production and supply lines are disrupted by fighting many families in the east and south of Ukraine do not have reliable access to nutritious food.

WFP uses a combination of food and cashassistanceto support communities affected by the war. This includes working with local partners to distribute food boxes in areas near the frontline and providing cash transfers in locations where people have access to banks and markets to buy food. Since March 2022 WFP has distributed food and cashassistanceequivalent to 3.7billion meals to people displaced and affected by the war.

How can you make a difference

In this position you will have to:

  • Contribute to the development and implementation of Management Services components ofWFPs Country Strategic Planning (CSP) and Resource Planning aligned with country/regional and
  • wider WFPs strategies and policies tofacilitateefficient and effective service delivery.
  • Contribute to the development of annual plans adapting policies procedures processesstandards and systems to specific operational contexts mitigating risks and ensuring servicesprovidedsupportWFPs strategicobjectives.
  • Manage and/or carry out specialized functional analysis using data-driven approaches to providemanagement and clients withaccurateinformation and reports for efficient planning anddecision making.
  • Build andmaintainproductive partnerships with WFPs internal and external stakeholders otherUN agencies and government entities to strive for efficiency andoptimizationof cross-functionalprocesses.
  • Managethe existingresources and estimate new requirementsaimingat efficiency cost-effectivenessand timeliness of operations and services.
  • Manage the establishment and execution of contracts and long-term agreements related toFacilities managementFleetand shuttle management hotel accommodations and venues stationery and furniture printingservicesand other relevant services to ensure value for money andoptimalresource allocation.
  • Contribute to the development and implementation of standard emergency preparedness andresponse actions to support the WFP to quicklydeploythe needed resources to affected areas.
  • Provision of inputs to thecountryoffice business processes mapping and implementation of theinternal standard operating procedures (SOPs) and other services under their supervision. Oversee the procurement processes including the preparation of RFQs ITBs or RFPs documents receipt of quotations bids or proposals and their preliminary evaluation preparation of the Purchase Orders (POs) and other contractual documents and specifications within the area of responsibility and othersasrequested by the supervisor.
  • Utilizedigital tools and applications to their fullest potential collaborating with technical expertstoeffectively adopt and adapt innovative technologies thereby enhancing operational workflows and customer service.
  • Prepare and implement designated components of UN Reform-related inter-agency initiatives including BOS to achieve cost savings and enhance service quality.
  • Conduct oversight field missions toidentifygaps provide advice and propose solutions in therelevant services or products of responsibility.
  • Manage and motivate diverse teams includingfacilitiesfleet/ mobility asset procurement emergency response and provide coaching training and guidance asto ensureappropriate developmentand enable high performance
  • Lead on processing and management of invoices and payments related to facilities common premises maintenance works etc.
  • Oversee tracking and collating data to support improvements in policies systems and procedures tominimizerisks improve the efficiency and effectiveness of operations and ensureservices are aligned with businessobjectives.

To join us in saving lives changing lives you will have:

Education: Advanced University degree inBusiness/ Public Administrationorrelated fields or First University Degree withadditionalyears of related work experience and/or training courses.

Experience: At leastfive(5) year of postgraduate professional experience(may be public orprivate sector); experience ingeneral administrative work;

Knowledge & Skills:

  • Demonstrated experience in general administration and management services.
  • Proven experience in team leadership and supervision.
  • Experience working in emergency operations and/or complex operational environments.
  • Fullproficiencyin Microsoft Windows and MS Office applications is.

Language: Fluency (level C) in both in Englishand Ukrainianlanguages.
