Job Summary

Key Responsibilities

1. Daily Salon Operations
Coordinate the day-to-day administrative operations of the salon.
Support staff scheduling attendance and daily allocation of duties.
Monitor the flow of services and promptly address operational issues.
Ensure the salon has the necessary supplies and coordinate timely replenishment.
Liaise with suppliers and service providers as required.
Support compliance with salon hygiene health and safety standards.
Ensure established service procedures and standards are consistently followed.
Assist with managing unexpected situations such as staff absence client complaints or equipment issues.

2. Front Desk & Customer Service
Welcome clients warmly and provide a professional first impression.
Manage client appointments bookings and the reception area.
Respond to client inquiries and provide accurate information about salon services.
Coordinate with stylists and other salon staff to ensure smooth and timely service delivery.
Follow up on client feedback and support the resolution of customer complaints.
Maintain positive relationships with clients and support customer retention and loyalty.
Ensure the reception and client-facing areas remain organised and welcoming.

3. Staff Coordination & Support
Provide day-to-day coordination and administrative support to salon staff.
Promote teamwork professionalism and respectful communication among team members.
Monitor staff punctuality attendance and professional presentation.
Support management in communicating expectations and addressing routine staff issues.
Encourage a positive and customer-focused working environment.

4. Sales & Administrative Support
Record and monitor daily sales payments and salon transactions.
Support the achievement of salon sales and service targets.
Monitor basic income and expenditure records and prepare routine reports for management.
Support the administration of staff commissions and related records.
Monitor stock levels and maintain accurate inventory records.
Support cost-conscious purchasing and minimise unnecessary wastage.
Ensure payment systems are functioning properly and that relevant records are maintained.

5. Marketing & Promotions
Support the implementation of salon promotions and special offers.
Assist with promoting salon services through social media and other digital platforms.
Support the organisation of special events and client engagement activities.
Help communicate promotions and new services to existing and prospective clients.

Requirements
Education & Experience:

Diploma or bachelors degree in business administration Management Hospitality Accounting or a related field.
At least 3 years of relevant experience in administration customer service hospitality retail beauty/salon or a similar environment.
Previous experience working in a front-desk or reception role is highly desirable.
Experience coordinating or supervising staff will be an advantage.
Good computer skills including Microsoft Word Excel PowerPoint and email.
Experience with appointment scheduling record keeping and basic financial administration is desirable.
