Q-Sourcing Servtec is a manpower management solutions firm operating in the East African Region in the countries of Uganda Kenya Rwanda and South Sudan. We are looking for a Bookkeeper to join our Finance department.

Role Summary: The Bookkeeper is the first point of contact for all financial data entering the Finance system at Q-Sourcing Tanzania. The Bookkeeper ensures that every financial transaction is captured correctly completely and on time in the ERP/accounting system before it reaches the AR Accountant or AP Accountant for further processing. This position is expected to bring discipline attention to detail and a system-first mindset. The Bookkeeper primarily supports the receivables function but must also understand its interdependencies with payables and the general ledger.


KEY DUTIES AND RESPONSIBILITIES.

Key Responsibilities

A. Data Capture & Transaction Recording (Primary Focus)

Serve as the primary gatekeeper for all financial data entering the accounting system ensuring transactions are posted accurately and without delay.

Record all financial transactions daily receipts payments sales invoices supplier invoices and journal entries in the ERP/accounting system i.e. Zoho Books

Verify source documents (LPOs delivery notes approved payment requests) before posting; never post a transaction without a valid supporting document.

Flag and escalate incomplete inconsistent or suspicious transactions to the AR Accountant immediately rather than posting and correcting later.

Maintain a daily transaction log and reconcile system entries against source documents at close of each business day.

B. Accounts Receivable Support

Generate and issue client invoices accurately and on time in line with contract terms purchase orders and service delivery confirmation.

Allocate client receipts against the correct invoices in the system promptly upon receipt of bank confirmation.

Maintain an up-to-date debtors ledger and flag overdue balances to the AR Accountant on a weekly basis.

Prepare and distribute client statements of account on a monthly basis and upon request.

Support the AR Accountant in following up on outstanding receivables by preparing aged debtor reports and reconciliations.

Ensure credit notes are processed only upon written approval and are properly documented.

C. Bank & Cash Management

Perform daily bank reconciliations across all entity bank accounts and resolve unreconciled items within 24 hours.

Manage petty cash ensuring disbursements are authorised receipts are collected and the float is reconciled weekly.

Prepare banking documentation including deposit slips payment requisitions and transfer instructions for approval.

Monitor and report on daily cash positions to the AR Accountant.

D. General Ledger & Reconciliations

Maintain and reconcile assigned general ledger accounts on a monthly basis prior to financial close.

Post month-end journals (accruals prepayments depreciation) under direction of the AR Accountant.

Identify and resolve posting errors or coding errors before month-end close; do not carry forward unresolved items.

Assist in producing monthly trial balances and support the preparation of management accounts.

E. Statutory Compliance Support

Collate and prepare schedules to support the monthly filing of VAT PAYE SDL WCF and NSSF returns within statutory deadlines.

Maintain an organized digital and physical filing system for all statutory submissions and supporting documents accessible for audit at any time.

Assist in the preparation of documentation for internal and external audits and tax reviews.

F. Financial Records & Documentation

Maintain a complete well-organised filing system (digital and physical) for all financial documents including invoices receipts vouchers bank statements and contracts.

Ensure all documents are filed by transaction date reference number and counterparty for ease of retrieval.

Comply with the companys document retention policy.



Performance Standards & Key Metrics

Performance will be measured against the following standards:

100% of daily transactions posted on the same day as the source document date.

Bank reconciliations completed and signed off by the 1st of every month.

Zero unresolved reconciling items older than 48 hours at any point in the month.

Client invoices issued within 24 hours of confirmed service delivery.

Aged debtor report delivered to AR Accountant weekly.

Zero posting errors attributable to data entry in monthly financial close.

All statutory filing schedules delivered to AR Accountant at least 3 working days before the filing deadline.



Requirements

MANDATORY REQUIREMENTS

Qualifications & Experience

Essential:

Bachelors degree in Accounting Finance or a related field from a recognised institution.

Minimum 2 years hands-on bookkeeping or accounting experience in a structured finance environment (commercial entity audit firm or professional services).

Demonstrated experience posting transactions in an ERP or accounting system (Zoho Books QuickBooks Sage or similar) must be able to demonstrate this at interview.

Proficiency in Microsoft Excel including use of VLOOKUP/XLOOKUP pivot tables and reconciliation templates.

Working knowledge of Tanzanian statutory obligations: VAT PAYE SDL NSSF WCF and TRA filing requirements.

Ability to work to daily deadlines with high accuracy under minimum supervision.


Desirable:

CPA (T) Part II or ACCA Foundation Level or equivalent professional qualification in progress or completed.

Experience in a staffing professional services or multi-entity environment.

Exposure to accounts receivable processes including invoicing collections and debtor reconciliations.
