Position description;
The HR & Data Privacy Officer (DPO) is responsible for ensuring compliance with applicable data protection laws and regulations while supporting effective delivery of Human Resources functions. The role safeguards employee and company data promotes privacy awareness maintains data governance standards and supports key HR processes including employee records management recruitment onboarding performance management employee relations and compliance with labour laws.
KEY RESPONSIBILITIES;
1. Data Privacy Compliance & Governance
Ensure company policies and procedures align with applicable data protection laws and regulations.
Monitor data processing activities and ensure the lawful collection storage processing and sharing of personal data.
Maintain review and update the companys Data Protection Policy and related procedures.
Ensure privacy requirements are incorporated into business processes systems and projects.
2. Advisory & Awareness
Advise management and employees on data protection and privacy obligations.
Conduct regular privacy awareness and compliance training programs.
Promote a culture of data protection and confidentiality across the organization.
Provide guidance on handling confidential employee and customer information.
3. Risk Management & Data Security
Collaborate with IT and business units to ensure adequate technical and organizational safeguards are in place.
Conduct privacy risk assessments and recommend mitigation measures.
Monitor compliance with data access controls and retention requirements.
Support implementation of information security best practices affecting employee data.
4. Employee & Customer Data Management
Ensure employee records are accurate complete confidential and up to date within HR systems.
Administer employee data changes including personal details next of kin information marital status and dependents.
Ensure secure storage and retention of personnel records in accordance with company policies and legal requirements.
Support the integrity and accuracy of HR and customer databases.
5. Audit & Reporting
Maintain Records of Processing Activities (ROPA) as required by law.
Conduct regular internal reviews and compliance checks.
Prepare reports for management auditors and regulatory authorities.
Monitor corrective actions resulting from audit findings.
6. Incident & Breach Management
Lead the response to privacy incidents and data breaches.
Investigate document and report data breaches to relevant regulatory authorities when required.
Develop and monitor corrective and preventive action plans.
Maintain incident registers and ensure timely closure of privacy-related issues.
7. Liaison & Communication
Act as the primary point of contact with the Data Protection Authority and other relevant regulators.
Manage data subject access requests and privacy-related inquiries.
Communicate compliance requirements and updates to stakeholders.
Coordinate privacy audits and inspections.
Human Resources Responsibilities
8. Recruitment & Onboarding
Coordinate recruitment activities including vacancy advertisements interview scheduling and candidate communications. Support employee onboarding and induction processes.
Maintain recruitment records and ensure compliance with hiring procedures.
Ensure proper documentation and confidentiality of employee files.
9. Employee Relations & HR Administration
Provide guidance to employees on HR policies and procedures.
Assist in resolving employee concerns grievances and disciplinary matters.
Prepare employment contracts confirmation letters transfer letters and other HR documentation.
Ensure compliance with labour laws and company policies.
10. Performance Management
Coordinate the performance appraisal process and maintain related records.
Support managers in implementing performance improvement plans where required.
Track completion of performance evaluations and employee development plans.
Generate reports on performance management activities.
11. Training & Development
Coordinate staff training and development initiatives.
Maintain employee training records and competency matrices.
Identify training needs and support implementation of learning programs.
Monitor effectiveness of training interventions.
12. Leave Attendance & Employee Records Management
Manage employee leave administration and ensure proper documentation.
Monitor attendance records and coordinate with managers on attendance-related matters.
Ensure employee personnel files are accurate and up to date.
Maintain confidentiality and security of employee records.
13. HR Compliance & Reporting
Ensure compliance with employment legislation company policies and HR procedures.
Prepare periodic HR reports and workforce analytics.
Support internal and external audits related to HR and employee records.
Assist in policy review and implementation.
Requirements
Qualifications & Experience
Education;
Bachelors degree in human resources management Business Administration Law Information Systems Compliance or a related field.
Certified Data Protection Officer (DPO) Certification.
Experience;
Minimum of 35 years of experience in Human Resources Compliance Data Protection or a related role.
Practical experience in employee records management HR administration and privacy compliance. Knowledge of labour laws and data protection regulations.

KEY REQUIREMENTS EXPERIENCE: - At least 5 years specifically in automativem commercial vehicle trucks pickups or heavy equipment industry - Proven experience managing sales teams and achieving aggressive revenue targets - Strong exposure to government tenders and B2B fleet sales TECHNICAL INDUSTRIAL KNOWLEDGE: - Deep understanding of commercial vehicle market dynamics in Tanzania and East Africa - Knowledge of fleet financing licensing structure and asset acquisition models - Familiarity with OEM distribution models and after sales ecosystem EDUCATION: - Bachelors degree in Business Administration Sales & Marketing Automotive Engineering or related field. MBA or post graduate qualification is an added advantage
