Position Objective:
Manage and execute small-scale operational purchases required for the successful delivery of the event ensuring a rapid and efficient response to unforeseen needs across departments and operational areas.
Key Responsibilities:
- Carry out urgent purchases and minor procurement requests submitted by Production and other authorized departments.
- Coordinate the collection transportation and delivery of materials supplies equipment and consumables required for event operations.
- Maintain basic records of expenditures purchase receipts invoices and supporting documentation.
- Identify and source suitable local suppliers stores and service providers to meet last-minute operational requirements.
- Provide logistical support for the replenishment of materials used by Production Hospitality Catering Operations and Backstage teams.
- Coordinate with the Production team to prioritize requests and ensure timely and efficient delivery of purchased items.
- Maintain a basic inventory of frequently used materials and consumables when required.
- Report operational issues recurring procurement needs and opportunities to improve supply management processes.
- Support additional logistical and operational tasks as required by the event.
- Ensure that all purchases comply with approved budgets procurement procedures and event operational requirements.
Deliverables:
- Purchase and expense tracking records including receipts and supporting documentation.
- Daily status updates on procurement requests and deliveries.
- Inventory records for frequently used operational supplies where applicable.
- Final procurement report summarizing purchases expenditures recurring needs operational issues and recommendations for future events.
