Job Summary

The Housing Coordinator plays a pivotal role in securing optimizing and overseeing student and faculty housing operations globally across Europe and Asia. This role ensures alignment between high-level fiscal planning and on-the-ground property execution taking full accountability for housing standards vendor contracts and quality measures across both Internship and Custom Programs.

Key responsibilities include standardizing property management processes overseeing operational housing setups managing localized budgets collaborating with internal units and optimizing processes using regional data systems to maintain a holistic view of our global accommodation landscape. You will work closely with the Senior Global Operations Manager and regional teams to drive operational excellence safety compliance and participant satisfaction.

Key Mission & Goals

  • Drive operational excellence across our global real estate portfolio through scalable booking systems strategic vendor partnerships and rigorous budget discipline. This role maintains a holistic view of accommodations aligning safety compliance cost efficiency and participant experience to ensure high-quality consistent housing across all global destinations for both individual internship cohorts and custom faculty-led groups.
  • Strategic Planning & Portfolio Management: Assist the Senior Global Operations Manager in global property planning budgeting and strategy execution to optimize room allocations and minimize financial leakages across assigned program locations.
  • High-Quality Program Delivery & On-Site Experience: Deliver seamless efficient operational support across all destinations to foster a safe organized and enriching international experience for students on-site.
  • Regional Execution & Compliance Guidance: Support regional team members to enforce consistent accommodation safety standards quality control measures and clear timely guidance on compliance processes.
  • Data-Driven Performance & Continuous Improvement: Use the CRM data base to track vendor quality housing compliance incident trends and budget adherence leveraging operational insights to continuously enhance the overall student experience.

Proposed Responsibilities:

  • Contract & Portfolio Ownership: Lead the strategic sourcing financial negotiation and contracting of all student accommodations in global program locations ensuring standards contracts and quality measures are strictly met.
  • Fiscal Accountability: Develop monitor and manage the master housing budget ensuring cost-effective placements tracking expenses and minimizing financial leakages.
  • Data & CRM Architecture: Maintain absolute database integrity within the CRM keeping up-to-date real-time records of vendors properties lease contracts and student placements.
  • Cross-Departmental Support: Liaise directly with the Custom Programs unit to scale and tailor housing needs ensuring operational feasibility and supporting the setup of visitor experiences.
  • Quality Assurance Audits: Conduct regular inspections and quality assurance checks of accommodation to ensure they strictly meet institutional corporate and safety standards.
  • Escalation Management: Guide ground teams in crisis management resolving housing-related escalations property disputes and operational emergencies in a timely manner.
  • Process Standardization: Coordinate across regions to standardize operational housing check-in/check-out processes orientation resources and arrival logistics.
  • Vendor & Culture Alignment: Manage and optimize long-term landlord and property provider relationships while fostering a positive team culture of knowledge sharing across local hubs.
  • Team & Strategy Maintenance: Create internal operational housing documentation verify tracking sheets and assist with seasonal Program Coordinator hiring.

Ideal Qualities & Experience

  • Experience: 2-3 years of professional experience in housing coordination property management corporate relocation or student affairs operations.
  • Contract & Safety Expertise: Advanced knowledge of housing contract processes international leasing frameworks and accommodation safety standards.
  • Financial Acumen: Proven experience managing or tracking property budgets and negotiating competitive service agreements.
  • Leadership & Crisis Management: Comfort leading meetings managing workflows and addressing real-time emergencies under pressure.
  • Organizational Skills: Highly organized with strong problem-solving instincts and the ability to prioritize multiple competing requests across geographies.
  • Language Skills: Full professional proficiency in written and verbal English is required. Fluency in additional European or Asian languages is a major plus to facilitate direct property negotiations.
