The Role
Absolute Internship is seeking a highly organized proactive and detail-oriented Operations Coordinator for our Faculty Led and Custom Programs focusing on the Southern Europe region. This role owns the planning coordination and execution of custom university programs from start to finish.
The ideal candidate is systematic logistics-focused and excels at creating efficient itineraries that align with educational goals. Creative tech-savvy and adaptable you will thrive in a dynamic environment focused on process improvement and delivering world-class academic travel experiences within time and budget constraints. You will work closely with the Faculty-Led Custom Program Manager internal teams and university faculty.

What You Will Do
- Program Design & Client Management: Meet directly with university partners and faculty to understand their logistics learning objectives and program desires to create comprehensive proposals bids and sample itineraries.
- Logistics & Booking Management: Book and secure all program components including accommodation group transportation/shuttles meals activities excursions classrooms and site visits.
- Cross-Department Collaboration: Partner with our Corporate Engagement team to source vet and organize company visits and volunteering opportunities that match the programs academic focus.
- Student Admin & Pre-Departure: Collect and manage student health wellness and dietary data. Own the delivery of pre-departure information host pre-departure webinars and distribute final itineraries and calendars to students.
- On-Site Readiness & Training: Recruit onboard and train the on-site staff who will lead the student groups on the ground ensuring they are fully equipped to deliver a seamless experience.
- Financial & Quality Control: Maintain precise records of budgets vendor payments and itineraries. Collect and analyze participant feedback to continuously improve regional operations.
- Cross-Regional Operations Support: Act as a versatile team player by stepping in to support logistics bookings and operations for custom programs in other global regions during peak seasons or as business needs shift.
Ideal Qualities & Experience
- Experience: 3 years of professional experience in program coordination hospitality logistics or project management ideally within an international or educational tourism setting.
- Regional Knowledge: Deep knowledge of Southern Europe including regional travel logistics. Proficiency in a relevant regional language (Italian Spanish Portuguese) is highly preferred.
- Education: Bachelors degree required; a Masters degree is a strong plus.
- Professional Communication: Exceptional English communication skills (written and verbal) with the ability to maintain prompt respectful stakeholder correspondence including adhering to our 12-hour email response policy.
- Technical & Organizational Skills: An outstanding systematic approach to multitasking strong research capabilities and high comfort using tech tools for project management to meet strict deadlines.
- Mindset: Deeply customer-service driven and goal-oriented possessing the ultimate flexibility and versatility required to adapt rapidly in a fast-paced multi-destination environment.
