Learnlife is seeking an Admissions Coordinator to support school growth by providing outstanding service to families interested in joining our schools.
You will be the first point of contact for families providing a personal proactive and warm service that nurtures and qualifies enquiries for the Admissions & Community Engagement Lead to enrol. You will ensure the admissions process is followed runs smoothly and provides both the team and families with the information they need to make informed decisions.

Weve built three hubs (schools) that host more than 300 learners aged 5 to 18 in the greater Barcelona area. Were a top 10 shortlisted school in the Worlds Best School Prizes 2026 and we are growing!
Start date: Full-time from October 2026.
Work location: 25% remote with 75% regular presence in our hubs (Barcelona Castelldefels and St. Pere de Ribes)
Reporting: Admissions & Community Engagement Lead.
Your Responsibilities
Managing and Nurturing Enquiries
- Respond to enquiries from families. Manage the admissions inbox online walk-in and phone enquiries.
- Qualify enquiries by holding 1:1 meetings with families and using lead scoring and nurturing sequences.
- Arrange and host family tours at our three hubs and gather feedback from families after the visits.
- Oversee Taster Days coordinating with the hub teams registering families and gathering and providing feedback.
- Support in-person Open Houses and Online Info Session events.
Admissions Management
- Support the whole admissions process focusing on converting enquiries to qualified leads.
- Ensure a seamless and personal family journey that reflects our ethos of care and agency.
- Support the Admissions & Community Engagement Lead with various administrative tasks to help families through the admissions process to enrolment.
- Support the Hubs teams finance team and Admissions & Community Engagement Lead with the annual re-enrolment campaign.
- Maintain and report on admissions data to support forecasting and decision-making.
- Hands-on management of our CRM (Hubspot) and LMS (Powerschool) ensuring processes and best practices are followed.
- Regularly review and refine processes to improve efficiency and the overall family experience.
Your Experience and Skills
- A solid track record in admissions/sales or administration ideally in education.
- Proven track record in lead qualification and nurturing.
- Exceptional organisation and administrative skills.
- Outstanding attention to detail and accuracy.
- Excellent communication skills (written and verbal) in English and Spanish.
- High intercultural competency.
- Strong emotional intelligence and sensitivity to peoples needs.
- Data and tech savvy (excel Hubspot AI and educational Google apps) with a great eye for detail.
- A self-starter who is highly resourceful self-aware and adaptable.
