Private Client Holdings is looking for a Wealth Management Associate to support a Wealth Manager in delivering exceptional service to private clients and their families. Purpose of the Role

The purpose of this role is to provide professional administrative and operational support to a Wealth Manager.

You will help manage client documentation onboarding compliance requirements CRM updates service provider queries and client review preparation ensuring that tasks are completed accurately timeously and with care.

In this role you will help to:

  • Deliver a smooth and professional client experience.
  • Keep client records documentation and CRM profiles accurate and up to date.
  • Support the Wealth Manager with deadline-driven administrative tasks.
  • Assist with client onboarding and review preparation.
  • Ensure FICA FAIS and compliance-related administration is handled correctly.
  • Liaise professionally with clients internal teams and external service providers.


Key Responsibilities

Administrative Support

  • Prepare and collate documentation for new client onboarding.
  • Maintain and update client CRM profiles with accuracy and consistency.
  • Liaise with internal and external service providers on client-specific matters.
  • Address and resolve administrative queries on behalf of the Wealth Manager.
  • Assist with the preparation of client review packs working closely with the administrative team and Paraplanners where required.


Compliance Responsibilities
  • Apply a basic working knowledge of the FAIS General Code of Conduct in daily tasks.
  • Ensure FICA and CDD requirements are completed according to client risk profiles and internal RMCP guidelines.
  • Draft and/or check Records of Advice and replacement disclosure forms accurately and in line with internal compliance standards.
  • Work with the internal compliance team where guidance or escalation is required.


Technical Assistance
  • Maintain a working understanding of relevant financial products and service provider processes.
  • Prepare proposal documents based on Wealth Manager instructions and recommendations.
  • Compile financial needs analyses and retirement needs analyses under the guidance and instruction of the Wealth Manager.
  • Ensure technical documents are accurate complete and aligned with client requirements.


Client and Stakeholder Support
  • Communicate professionally with clients colleagues providers and internal support teams.
  • Listen carefully ask the right questions and obtain the information needed to resolve queries properly.
  • Support the Wealth Manager in delivering a consistent high-quality client experience.
  • Handle confidential client information with discretion professionalism and care.


Planning Accuracy and Quality
  • Manage multiple deadlines and priorities in a structured way.
  • Maintain exceptional attention to detail across documentation CRM updates compliance records and client packs.
  • Take ownership of tasks and follow through on commitments.
  • Remain calm and effective when working under pressure or managing high-volume administration

Requirements
  • 35 years experience in a financial planning wealth management or financial advisory administration environment.
  • Experience supporting a Wealth Manager Financial Advisor or similar professional.
  • Solid understanding of FAIS FICA and financial planning administration processes.
  • Experience preparing onboarding documentation maintaining CRM systems and managing high-volume administrative tasks.
  • Strong Microsoft Office skills including Excel Word Outlook and PowerPoint.


Advantageous
  • Commerce financial planning or finance-related degree.
  • Working towards RE5 and/or CFP designation
  • Experience using Xplan

Required Skills:

You bring a blend of technical expertise professional gravitas and genuine care for clients: 5 years proven experience advising high-net-worth and/or ultra-high-net-worth clients in a holistic financial planning role A Commerce or Business Science degree plus a postgraduate qualification in Financial Planning (non-negotiable) CFP professional registered with the FPI Comfortable using Xplan or similar CRM/financial planning system and the full Microsoft Office suite Demonstrable success in winning new business and growing AUM Naturally proactive tenacious and commercially minded you enjoy selling and serving Polished professional communicator with strong presentation and relationship-building skills High emotional intelligence empathy and genuine client-centricity Strong attention to detail planning and follow-through; you take ownership and deliver Based in the Western Cape (or willing to relocate) and able to engage with clients in person
