Job Summary

The Receptionist Office Administrator and Claims Registration Clerk is responsible for providing professional front office reception support general office administration and accurate claims registration support within the underwriting and claims environment.

The role serves as the first point of contact for visitors clients brokers and service providers ensuring that enquiries are handled professionally and directed to the correct person or department. The role also supports the smooth day-to-day running of the office through general administrative coordination document handling filing communication support meeting coordination and supplier-related administration.

In relation to claims administration the role is responsible for receiving new claim notifications capturing claim information accurately creating and maintaining claim records checking that required documentation has been received following up on outstanding information and escalating claims to the relevant claims or underwriting personnel for assessment decision-making and further processing.


Key Responsibilities:

Reception & Client Service

  • Welcome visitors clients brokers and service providers professionally.
  • Manage incoming telephone calls and direct enquiries appropriately.
  • Handle visitor sign-in procedures and coordinate deliveries and couriers.
  • Maintain a professional organised and welcoming reception area.
  • Provide exceptional customer service and ensure all enquiries are addressed promptly.

Office Administration

  • Provide administrative support to the Underwriting Claims and Management teams.
  • Prepare scan file and maintain electronic and physical records.
  • Coordinate meeting rooms office supplies couriers and service providers.
  • Assist with document preparation correspondence and general office administration.
  • Support office operations to ensure an efficient working environment.

Claims Registration & Administration

  • Receive and accurately register new insurance claims.
  • Capture claim information on the relevant systems.
  • Verify that all required supporting documentation has been received.
  • Follow up on outstanding claim information where required.
  • Escalate urgent incomplete or complex claims to the relevant Claims or Underwriting team.
  • Maintain accurate claim records correspondence and claim notes.
  • Ensure claims are registered within agreed turnaround times while maintaining strict confidentiality.

Team Support

  • Provide administrative assistance to the Claims and Underwriting teams.
  • Maintain internal registers and trackers.
  • Assist with ad hoc operational and administrative tasks.
  • Contribute positively to a collaborative service-driven team environment.








Requirements

Qualifications

  • Grade 12 (Matric).
  • A Certificate in Office Administration Business Administration Short-Term Insurance or a related qualification will be advantageous.
  • Insurance administration or FAIS-related training will be advantageous.
  • Proficiency in Microsoft Office (Word Excel and Outlook).

Experience

  • 12 years experience in Reception or Front Office Administration.
  • 23 years experience in General Office Administration.
  • 12 years experience within Insurance Claims Underwriting or Broker Administration will be advantageous.
