About the Role:
- Our client is looking for a highly organized and people-oriented People & Culture Coordinator to help us build a strong foundation of accurate employee data consistent processes and exceptional people administration.
- This role is ideal for someone who enjoys creating order maintaining accurate records working with systems and ensuring that every detail is looked after.
- The successful candidate will play a key role in maintaining employee information within PaySpace and supporting the day-to-day administration of the People & Culture function.
- Working closely with the Head of People & Culture this person will help ensure employee records documentation reporting information and people processes remain accurate compliant and up to date.

Purpose of the Role:
- The purpose of this role is to support Our Client in creating and maintaining a single accurate source of employee information through PaySpace and related People & Culture administration practices.
- The People & Culture Coordinator will be responsible for the accurate administration of employee data records documents and changes while ensuring that key People & Culture processes are followed consistently and stored correctly.
Key Responsibilities:
Employee Administration
- Maintain accurate employee records throughout the employee lifecycle.
- Process employee changes such as appointments salary increases promotions transfers and terminations.
- Prepare and maintain employment-related documentation and employee correspondence.
- Assist with onboarding and offboarding administration.
- Ensure all employee records are complete accurate and appropriately stored.
PaySpace Administration
- Maintain employee information within PaySpace accurately and timeously.
- Capture and update employee data reporting lines job information and other relevant employee details.
- Support payroll-related administrative processes where required.
- Assist with maintaining organisational structures and employee reporting information in PaySpace.
- Perform regular data checks and identify discrepancies for correction.
Records and Data Management
- Ensure employee documentation is correctly filed stored and maintained.
- Maintain document control and record-keeping standards across People & Culture records.
- Assist in building a single trusted source of employee information.
- Support data clean-up and data-quality initiatives.
- Handle confidential employee information with discretion and professionalism.
Reporting and Coordination Support
- Prepare routine HR and employee data reports as required.
- Support Employment Equity training and compliance reporting requirements by ensuring records are accurate and available.
- Assist with maintaining organisational charts and employee information records.
- Track and maintain learning and development records.
- Support the Head of People & Culture with administrative information needed for skills gap identification and people planning.
Process Coordination
- Help ensure People & Culture processes are followed consistently.
- Monitor outstanding administrative actions and follow up where required.
- Support ongoing improvements to administration practices and record management.
- Keep information organised updated and stored where it should be.
- Escalate gaps inconsistencies or risks to the Head of People & Culture.
Important Scope Clarification
- The Head of People & Culture will remain responsible for staff grievances formal employee relations processes HR frameworks and complex people matters.
- This role exists to hold the administration together keep the data accurate coordinate processes and ensure that the underlying People & Culture information is reliable and well managed.
Minimum Requirements:
- Degree or Diploma in Human Resources Industrial Psychology Business Administration or a related field.
- Approximately 2-3 years experience in HR administration People Operations or a similar role.
- Essential: practical working experience with PaySpace.
- Strong Microsoft Office skills especially Excel.
- Experience handling confidential employee information.
- Strong administrative organisational and follow-through skills.
