Investment Administration Specialist

An established investment services organisation is seeking an experienced Investment Administration Specialist to join its team in Cape Town. This role is responsible for the execution of technical operational activities across local linked investment and offshore administration processes ensuring accurate processing reconciliation reporting pricing administration and fund maintenance within a strong control environment.

Key Responsibilities

• Local Unit Trust Administration
  • Manage daily net sales flow reporting and distribution.
  • Process creations and cancellations including reconciliation of daily unit movements.
  • Facilitate payments and collections relating to subscriptions redemptions and switches.
  • Validate capture upload and verify daily fund prices and money market rates.
  • Process and reconcile income distributions including dividends and interest payments.
  • Liaise with fund and accounting teams to ensure accurate processing.
  • Investigate and resolve administrative and pricing discrepancies.
  • Complete daily control checks and reconciliations.
  • Participate in operational projects process reviews and documentation initiatives.
• Third-Party Investment Administration
  • Produce and distribute daily net flow reports.
  • Create and manage bulk investment orders via order management systems.
  • Reconcile order confirmations and settlement activity.
  • Prepare payment instructions for external fund providers.
  • Validate and maintain fund pricing data.
  • Perform daily reconciliations between internal systems and external fund managers.
  • Investigate and resolve asset and liability discrepancies within strict turnaround times.
  • Manage market corrections and pricing adjustments.
  • Build and maintain relationships with external service providers.
  • Assist with income distribution processing and tax-related reconciliations.
  • Contribute to process improvement initiatives and projects.
• Offshore Administration
  • Maintain and authorise foreign exchange rates.
  • Prepare currency conversion and offshore investment reports.
  • Manage offshore bulk orders and payment instructions.
  • Monitor offshore transactions trade cycles and reconciliation activities.
  • Investigate and resolve offshore asset and liability discrepancies.
  • Process offshore pricing activities and income distributions.
  • Coordinate offshore balance transfers and reporting.
  • Generate broker commission conversion reports.
  • Complete daily controls and support operational enhancements.
• Fund Maintenance
  • Support the setup and maintenance of local and offshore investment funds.
  • Update fund parameters fee structures and fund rules.
  • Maintain fund amendments and regulatory changes.
  • Coordinate fund mergers amalgamations and corporate actions.
  • Manage capped fund controls and related system updates.

Requirements

• Relevant business degree tertiary qualification or equivalent industry experience.
• Minimum of 3-5 years experience in investment administration fund operations unit trust administration or a similar environment.
• Strong understanding of investment operations reconciliations pricing and fund administration processes.
• Exceptional attention to detail and strong numerical ability.
• Excellent organisational planning and prioritisation skills.
• Strong reconciliation investigation and problem-solving capabilities.
