Job Overview

We are seeking a highly organised detail-oriented and proactive Internal Sales Support Administrator to provide dedicated administrative and operational support to the sales function.

This is primarily a sales administration and support role rather than an external/new-business sales position. The successful candidate will work closely with the relevant sales representative ensuring that quotations orders customer enquiries documentation follow-ups and general sales administration are handled accurately and efficiently.

The ideal candidate will be an exceptionally strong administrator who enjoys working in a busy sales environment communicates professionally with customers and takes ownership of tasks through to completion.

Key Responsibilities
  • Provide dedicated day-to-day administrative support to the sales representative.
  • Manage incoming customer enquiries professionally via telephone and email.
  • Prepare and process quotations sales orders and supporting documentation.
  • Capture customer orders accurately and ensure all relevant information is complete.
  • Follow up on quotations orders outstanding information and customer requests.
  • Track orders and keep the sales representative and customers informed of progress.
  • Maintain accurate customer quotation order and sales information on internal systems.
  • Assist with preparing sales-related documentation correspondence and reports.
  • Coordinate customer requirements with relevant internal departments.
  • Liaise with operations logistics warehouse finance and other departments where required.
  • Assist with customer pricing product availability and order-related enquiries.
  • Maintain organised electronic and physical sales records and documentation.
  • Assist with updating customer information and maintaining accurate customer databases.
  • Provide professional after-sales administrative support.
  • Help resolve routine customer queries and escalate more complex matters appropriately.
  • Ensure deadlines commitments and customer follow-ups are not missed.
  • Support the sales representative with general diary customer and administrative requirements where necessary.
  • Perform general administrative duties associated with the internal sales function.
Minimum Requirements
  • Matric / Grade 12.
  • Previous experience in sales administration internal sales sales support customer service or a similar administrative role.
  • Strong administrative experience is essential.
  • Previous experience supporting an external or field-based sales representative would be advantageous.
  • Strong computer literacy including Microsoft Outlook Word and Excel.
  • Experience working with a CRM ERP order-processing or similar business system would be advantageous.
  • Experience preparing quotations and processing customer orders would be beneficial.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Excellent organisational and time-management abilities.
  • Ability to manage multiple tasks customer requests and deadlines simultaneously.
