Job Title:

Facilities Manager

Job Purpose:

Our client is seeking a Facilities Manager to oversee the maintenance and operational management of a diverse property portfolio including retail industrial and mixed-use properties. The successful candidate will work closely with Property Managers and Property Administrators to ensure all facilities are maintained to a high standard remain compliant with relevant regulations and that tenant requirements are addressed efficiently and professionally.

Responsibilities:

Work closely with Property Managers and Property Administrators to ensure efficient facilities operations.
Manage a portfolio of retail industrial and mixed-use properties.
Communicate with tenants regarding daily operations and planned maintenance providing updates within 24 hours for unscheduled issues and at least 48 hours notice for scheduled maintenance.
Coordinate and manage security cleaning refuse removal and other soft services.
Oversee and schedule routine maintenance and repairs including electrical fire mechanical plumbing structural and related building systems.
Conduct regular property inspections and submit monthly building inspection reports.
Monitor report and follow up on all repairs maintenance activities and outsourced services ensuring issues are addressed within 24 hours.
Maintain accurate compliance documentation maintenance records and service certifications in line with applicable regulations.
Ensure all property assets are maintained according to approved maintenance plans and budgets.
Review and update maintenance and service schedules on a weekly basis.
Respond promptly to reactive maintenance issues immediately for emergencies and within 24 hours for non-emergency matters.
Monitor contractor performance and report on Service Level Agreement (SLA) compliance monthly.
Manage and supervise outsourced contractors and service providers.
Prepare scopes of work obtain quotations for repairs and maintenance and submit quotations and invoices for approval within 24 hours.
Liaise with Property Managers and Property Administrators to ensure the timely completion and closure of job cards.
Identify and implement opportunities to improve facilities management processes and operational efficiency.
Ensure compliance with the Occupational Health and Safety Act (OHSA) and proactively identify and mitigate health and safety risks.
Identify report and address regulatory and operational compliance risks.
Assist with the development and implementation of annual preventative maintenance schedules.
Be available after hours to attend to critical maintenance issues when required.

Qualifications and Experience:

Proven experience managing retail industrial or mixed-use property portfolios.
Strong knowledge of building systems preventative maintenance planning and contractor management.
Sound understanding of Health & Safety regulations and the Occupational Health and Safety Act (OHSA).
Strong administrative reporting and organisational skills.
Excellent communication interpersonal and problem-solving abilities.
Ability to manage multiple properties projects and competing priorities effectively.
Strong attention to detail and ability to work independently.
Proficient in coordinating maintenance activities and ensuring regulatory compliance.
