About The Role:

We are seeking a full-time highly organized detail-oriented Executive Assistant to support three fast-moving brands: The flagship salon The education and training business for hairstylists and The product division that supplies ethically sourced single-donor human hair extensions

This role is ideal for a Type A proactive responsive and highly dependable individual who thrives in a fast-paced environment and can manage multiple priorities with accuracy urgency and excellent follow-through. The right candidate must be able to work independently stay on top of details and communicate professionally and clearly at all times.

This is a client-facing role requiring strong written communication exceptional organization and the ability to maintain consistency across several moving parts without constant reminders.

Key Responsibilities:

• Manage three inboxes across the three brands
• Coordinate personal and appointment calendars
• Upload weekly drops to Shopify
• Manage Kajabi
• Paypal subscriptions
• Client appointments via GlossGenius
• Handle client concierge communication
• Support project coordination and task tracking
• Manage social media DM and comment engagement
• Schedule and coordinate via Zoom and Google Meet
• Provide general administrative support across all three brands
• Assist with ad hoc tasks as needed
• Maintain strong communication responsiveness and attention to detail throughout all workflows

Required Qualifications & Skills:

The ideal candidate should have experience with or be comfortable navigating the following platforms:

• Web page/marketing background (will be editing and creating sales pages and landing pages)
• Instagram
• TikTok
• Shopify (ecommerce adjacent)
• Kajabi
• PayPal
• Stripe
• Canva
• Zoom
• Google Meet
• Gmail
• Google Sheets
• Google Calendar
• Google Suite

Ideal Candidate Profile:

• Native English speaking is non-negotiable
• Highly organized and detail-oriented
• Strong written communication and grammar
• Proactive responsive and reliable
• Comfortable managing client-facing communication
• Able to work efficiently in a fast-paced high-expectation environment
• Able to manage time tasks and priorities with minimal supervision
• Must be comfortable working with clarity direct feedback and high standards

This role requires someone who can operate within an ambiguous environment accepting and providing direct feedback with a high level of professionalism accuracy and urgency. The right person should be able to take ownership of their work communicate clearly and maintain structure across multiple brands and workflows.
