Job Summary

Position: Administrative Assistant

Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team full-time. The ideal candidate will have excellent communication and multitasking skills as well as a strong work ethic and a positive attitude. As an Administrative Assistant you will play a crucial role in supporting the daily operations of our company and ensuring the smooth functioning of our office.

Key Responsibilities:

- Provide administrative support to the management team including scheduling meetings managing calendars and making travel arrangements

- Assist in the preparation of documents reports and presentations

- Maintain and organize physical and electronic filing systems

- Answer and direct phone calls and emails in a professional and timely manner

- Manage office supplies and equipment including ordering and restocking as needed

- Coordinate with other departments to ensure efficient communication and collaboration

- Assist with onboarding and training of new employees

- Handle incoming and outgoing mail and packages

- Maintain confidentiality of sensitive information and handle it with discretion

- Perform other duties as assigned by the management team

Qualifications:

- High school diploma or equivalent; additional education or certification in office administration is a plus

- Proven experience as an administrative assistant or in a similar role

- Proficient in Microsoft Office and other relevant software programs

- Strong organizational and time-management skills

- Excellent verbal and written communication abilities

- Ability to prioritize tasks and meet deadlines in a fast-paced environment

- Attention to detail and accuracy

- Ability to maintain a professional demeanor and handle confidential information with discretion

- Positive attitude and willingness to learn and take on new tasks

- Prior experience in the maritime industry is a plus but not required
