Program Coordinator – Business Incubation
Job Summary
1. Purpose of the Assignment
The Program Coordinator Business Incubation will lead the day-to-day operations of the organizations entrepreneurship and startup support programs. This role is responsible for the full lifecycle of business incubationfrom participant recruitment and training to business development investment readiness and long-term impact tracking. The Coordinator serves as the operational lead ensuring that all incubation activities are executed efficiently data-driven and effectively communicated to stakeholders.
2. Key Responsibilities
A. Program & Operational Management
- Lead the planning and execution of incubation and acceleration cohorts business bootcamps and innovation workshops.
- Develop and maintain detailed work plans activity calendars and task trackers using project management tools (e.g. Trello Asana ).
- Coordinate across internal departments (logistics finance communications and M&E) to ensure timely delivery of program milestones.
B. Participant Management & Data Analysis
- Recruitment: Manage the full application process including public outreach application reviews interviews and final selection of cohorts.
- Data Management: Utilize Google Sheets and Microsoft Excel to build and maintain comprehensive databases. Use advanced formulas pivot tables and visualization dashboards to track participant progress attendance and business growth.
- Mentorship: Act as the primary point of contact for entrepreneurs providing continuous support tracking learning objectives and ensuring business milestones are met.
C. Content Creation & Communications
- Digital Content: Collaborate with the communications team to create and curate engaging content including behind-the-scenes updates entrepreneur success stories and educational program highlights.
- Public Engagement: Support social media management and digital storytelling across platforms (Facebook Instagram LinkedIn etc.) to showcase program impact and enhance brand visibility.
- Reporting: Translate operational activities and program successes into compelling narratives reports and multimedia content for stakeholders and donors.
D. Stakeholder & Ecosystem Support
- Build and maintain relationships with mentors industry experts investors and financial service providers.
- Organize strategic events including Demo Days investment roundtables and business exhibitions.
- Identify sponsorship opportunities and support the development of proposals for corporate or donor-funded initiatives.
E. Monitoring Evaluation and Reporting
- Maintain a robust M&E framework to track Key Performance Indicators (KPIs) such as businesses launched jobs created revenue growth and investment capital raised.
- Produce consistent weekly/monthly status reports and final impact evaluations backed by rigorous data analysis.
3. Deliverables
- Weekly/Monthly Progress Reports: Including detailed activity updates and data-backed performance metrics.
- Live Data Dashboards: Maintained in Google Sheets/Excel for real-time tracking of entrepreneur lifecycle and program KPIs.
- Content Calendar & Assets: Regular production of digital content and success stories showcasing program impact.
- Strategic Databases: Clean up-to-date records of participants mentors investors and partners.
- Final Impact Report: A comprehensive summary of outcomes lessons learned and recommendations for future cycles.
4. Qualifications & Experience
- Education: Bachelors degree in Business Project Management Development Studies or a related field. (Masters degree is an advantage).
- Experience: 3 years in project coordination business incubation or entrepreneurship support programs.
- Technical Skills:
- Advanced Data Proficiency: Expert-level skills in Excel/Google Sheets (advanced formulas pivot tables and data visualization).
- Content Creation: Ability to create engaging digital content (social media posts success stories and visual reports).
- Project Management: Proficiency in Trello Asana or similar tools.
- Languages: Fluency in Somali and English (written and spoken) is mandatory.
