Job Summary

Position : Senior Project Document Controller

Industry : Oil & Gas

Location : Singapore (frequent shipyard attendance)

Contract Duration : 6 months

Scope of Works:

  • Manage and control all project documentation including engineering documents drawings technical correspondence vendor documents and shipyard records throughout the project lifecycle.
  • Develop maintain and regularly update the Master Document Register (MDR) to ensure accurate tracking and status visibility of all project documents.
  • Receive register distribute and track project documentation in accordance with established document control procedures.
  • Monitor and track vendor document deliverables ensuring timely submission review comments and resubmission.
  • Maintain document revisions and ensure the latest approved versions are properly controlled and readily available to relevant stakeholders.
  • Manage document transmittals including preparation issuance receipt tracking and close-out of documents between the project team vendors contractors shipyard and other stakeholders.
  • Maintain and update engineering document registers drawings registers vendor document registers and other project-specific documentation trackers.
  • Ensure proper filing indexing naming and archiving of project documentation in accordance with project document control requirements.
  • Support Class submissions by coordinating and tracking the submission review approval and close-out status of required technical documentation.
  • Coordinate with engineering procurement project management shipyard vendors contractors and other stakeholders to ensure timely document submissions and responses.
  • Monitor outstanding documents overdue submissions review comments and required actions and follow up with relevant parties accordingly.
  • Maintain accurate document records and provide regular document status reports and dashboards to the Project Management Team.
  • Support the preparation and compilation of final handover dossiers ensuring all required project documentation is complete properly indexed approved and ready for handover.
  • Ensure project documentation complies with applicable document control procedures project requirements and quality standards.
  • Provide general document control support to the project team as required throughout project execution.

Qualifications & Requirements:

  • Minimum 5 years of experience in document control within EPC shipyard marine offshore oil & gas or heavy industrial projects.
  • Proven experience managing project documentation throughout the full project lifecycle from engineering and construction through to commissioning and final handover.
  • Strong experience in maintaining Master Document Registers (MDR) engineering registers drawing registers vendor document registers and transmittals.
  • Strong proficiency in SharePoint and Electronic Document Management Systems (EDMS).
  • Experience in document revision control document distribution transmittal management and document status tracking.
  • Experience handling technical documentation engineering drawings vendor documentation and project correspondence.
  • Experience supporting Class submissions and final project handover dossiers is highly preferred.
  • Familiarity with shipyard documentation and project execution processes is an advantage.
  • Strong organizational and document management skills with excellent attention to detail.
  • Ability to monitor multiple document deliverables and follow up effectively with vendors contractors engineers and other stakeholders.
  • Good communication and coordination skills with the ability to work effectively in a multidisciplinary project environment.
  • Proficient in Microsoft Office particularly Excel Word and PowerPoint.
  • Ability to work independently and attend the shipyard frequently in Singapore as required.
