People Operations Specialist
Job Summary
MEDvidi is an AI-powered mental healthcare platform setting a new standard for safe effective and scalable psychiatric care in the United States. We combine licensed providers with proprietary AI tools to deliver consistent outcomes-driven treatment for conditions like ADHD anxiety depression and more. MEDvidis technology automates charting follow-ups and treatment planning freeing providers to focus on patient care while improving efficiency and clinical quality.
Were looking for a People Operations Specialist to take full ownership of the provider (clinician) lifecycle: preboarding onboarding document coordination and offboarding. Youll join the Business Operations team working hand-in-hand with our Senior HR Ops Specialist on shared workflows with close collaboration across Finance Legal and Clinical Operations.

- Shape the process dont just run it: were actively restructuring ownership of onboarding/offboarding and we explicitly welcome spotting inefficiencies and building automation (Notion Zapier) rather than following a fixed script.
Responsibilities:
- Own end-to-end preboarding and onboarding for new providers: post-offer communication document collection checklist tracking system setup coordination Notion onboarding projects welcome meetings etc.
- Manage provider offboarding workflows: documentation closure system access removal and coordination with Finance Legal and Clinical Operations.
- Build and maintain HR operational reports on provider lifecycle metrics (time-to-onboard completion rates offboarding timelines document status) to support decision-making by the Operations Manager.
- Maintain referral bonus eligibility tracking for newly onboarded providers.
- Maintain data accuracy and consistency across HR systems (BambooHR Notion Justworks internal provider databases) throughout the employment lifecycle.
- Identify recurring manual tasks in provider lifecycle workflows support automation efforts and document processes and SOPs as workflows evolve.

Requirements:
- 2 years of experience in HR operations HR administration or a generalist role with a strong operational focus.
- Proven experience managing high-volume onboarding/offboarding cases in parallel with reliable on-time closure and zero dropped steps.
- Experience with HRIS systems (BambooHR is a strong advantage) and disciplined data hygiene across multiple tools.
- Solid Notion skills: task management databases and automation.
- Strong analytical skills: building structured reports and dashboards spotting patterns and anomalies in operational data.
- Highly organized and detail-oriented: accuracy in documents and checklists is non-negotiable in this role.
- Strong cross-functional communication: comfortable flagging blockers early and building clear handoffs with Finance Legal and Clinical Operations.
- Advanced English (C1) written and spoken for daily communication with US-based providers and stakeholders and fluent Russian.
- Availability to work 2 PM 10 PM CET.
