Customer Service Coordinator – Balkans

Astrantia Talent is recruiting on behalf of an established international business for an experienced Customer Service Coordinator to support its operations across the Balkan region.

This is much more than a traditional customer service position. Sitting at the centre of Sales Supply Chain Logistics and Trade Finance you will take ownership of customer orders from initial entry through to delivery and invoicing.

You will be the person making sure everything comes together the right stock the right documentation the right delivery and importantly a customer who knows exactly what is happening with their order.

• Take ownership of customer orders from initial entry through to delivery and invoicing
• Process customer and supplier orders based on information provided by the Sales team
• Monitor stock availability and allocate quantities against customer orders
• Coordinate closely with Sales Logistics Transport Finance and regional subsidiaries
• Prepare shipping instructions and documentation according to individual customer and country requirements
• Manage international order documentation including Letters of Credit and Bills of Lading
• Monitor deliveries documentation and key deadlines throughout the order process
• Keep customers informed and proactively communicate any changes or potential delays
• Issue invoices and prepare complete documentation packs in line with agreed payment terms
• Support credit insurance and payment follow-up activities where required
• Identify and resolve operational issues customer complaints and order-related disputes
• Escalate more complex issues where appropriate
• Ensure orders are handled in line with internal processes and procedures
• Build strong relationships with customers and contribute to a consistently high level of customer satisfaction

Were looking for someone who already understands the moving parts behind international customer service and order management.

Ideally youll bring:

• Around 5 years experience in Customer Service Order Management Supply Chain Coordination or a similar position
• Degree-level education in Business Commercial or International Management or a related field
• Experience managing international customer orders from entry through to delivery and invoicing
• Good understanding of import/export processes and international shipping documentation
• Knowledge of Incoterms and Letters of Credit
• Experience using an ERP system such as SAP
• Understanding of stock allocation invoicing and logistics processes
• Experience working closely with Sales Logistics and Finance/Trade Finance teams
• Strong communication and customer relationship skills
• Excellent attention to detail and the ability to manage several priorities and deadlines simultaneously

Youll probably enjoy this role if youre someone who likes keeping things moving.

Youre organised without being rigid comfortable dealing with customers and good at spotting an issue before it becomes a bigger problem. When something doesnt quite go according to plan your instinct is to find the solution rather than simply pass the problem along.

Most importantly youll understand that great customer service in an international business isnt just about answering emails its about taking ownership and making things happen.
