Assistant, Contract Management
Job Summary
- Requisition processing of Purchase Order (PO)/PO creation including a solid understanding of any auditable documentation needed for PO.
- Recognize and resolve vendor management issues to maintain system integrity (e.g. wrong supplier chosen by requisitioner)
- Comprehending fundamental contract content and purpose to verify that the requisition was created properly and independently make the decision to reject or approve.
- Verification of Insurance certificates diversity documentation and CIA required
documentation and ability to obtain necessary documentation if not provided - Independently Approve POs for service agreements within delegated limits.
- Assist with the resolution of higher dollar agreements that have compliance issues.
- Primary interface with shopping cart requisitioners and PO approvers to identify and/or troubleshoot requisition issues (vendor issues documentation issues compliance issues).
- Process Purchase Order Change Notice requests according to guidelines established.
- Demonstrate operational expertise with contract workflow management system and PO system.
- Responsible for compliance with applicable Corporate and Divisional Policies and procedures.
- Support the timely preparation and execution of Confidentialy Disclosure Agreements (CDAs) Clinical Study Agreements (CSAs) associated budgets and vendor agreements
- Managing logistics of obtaining internal and site signatures
- Maintaining up to date records as necessary per global and local standard operation procedures
- Liaising with Stakeholders to deliver on the contracting commitments made to the business
- Customising of appropriate country CDA and CSA templates for a clinical study
- Supports Tracking of CDAs CSAs Site Intelligence KPIS/Metrics as required
Qualifications :
- High school diploma or GED Change to match equivalent in UK & EU
- 1-5 years experience in Pharma industry with an emphasis on the business (contracting outsourcing finance)
- Beneficial to have experience in SAP contract management databases and vendor management programs
- Must be able to work with multiple complex computer programs to complete the contract execution process within departmental timelines and within auditable standards
- Strong Written and verbal communication including ability to communicate effectively in English and local language (if not English) and interpersonal skills including conflict resolution and problem solving.
- Significant administrative experience within an office environment
