Role description:
This role is part of Arcadis Global Excellence Centre (GEC) and will join our 3000 talented individuals working in India Romania and Philippines in partnership with Arcadis offices globally. Role accountabilities:
Lead all document management activities for large-scale projects within a PMC (Project Management Consultancy) mission. Oversee the Document Control function from EDMS setup to final handover ensuring robust compliant and traceable document control across all phases. Previous experience in data center or pharma construction is strongly preferred.
Key Accountabilities
Design Leadership
- Oversee and enforce robust document approval workflows for all design submissions and releases.
- Ensure integration of BIM deliverables and maintain accessible records of all design revisions and approvals.
Multidisciplinary Coordination
- Manage document flows between design construction QA/QC commissioning commercial and operations teams.
- Maintain a single source of truth for all project documents (drawings models ITPs test records).
Construction Oversight & Field Execution
- Control and track transmittals for shop drawings method statements ITPs and subcontractor deliverables.
- Ensure hold-point documentation is reviewed and signed before release to site.
Schedule & Delivery Management
- Track and report document milestones (submittals approvals as-builts) to support project schedule and commissioning handovers.
- Produce look-ahead and status reports to prevent document-driven hold-ups.
Client & Stakeholder Interface
- Provide portal access and support for client and third-party audits.
- Prepare and deliver comprehensive handover documentation packs (O&Ms warranties certificates test records BIM as-builts).
- Coordinate with authorities for permitting and compliance submissions.
Quality Risk & Safety Management
- Ensure audit trails secure document storage and retention schedules are maintained.
- Implement and enforce naming conventions metadata standards and backup/recovery procedures.
- Ensure all documents meet regulatory and contractual requirements.
Leadership & Team Oversight
- Lead and mentor document control staff; deliver training on EDMS (Aconex Asite ACC ProjectWise SharePoint or client platforms).
- Enforce SLAs and drive continuous improvement of document control workflows.
- Ensure full integration between EDMS and BIM/Project Controls for traceable auditable deliverables.
Qualifications & Experience:
- Bachelors degree or equivalent in a relevant discipline (e.g. Civil Engineering Architecture Construction Management etc.) masters degree an advantage.
- 5-10 years experience supporting project administration ideally in construction or engineering.
- Proficiency with Microsoft Office SharePoint BIM 360 ACC and project management tools.
- Proficient in organizing and maintaining project documentation (drawings contracts RFIs submittals etc.) and ensuring compliance with standards like ISO 9001/19650.
- Strong organizational and communication skills.
- Attention to detail and ability to manage and prioritize tasks.
- English language proficiency required.
