Role description:

This role is part of Arcadis Global Excellence Centre (GEC) and will join our 3000 talented individuals working in India Romania and Philippines in partnership with Arcadis offices globally. Role accountabilities:
Support Project Managers and teams by assisting with project administration ensuring efficient and accurate control report review and distribution of project documents using CDE platforms and following Arcadis and client requirements.

Key Accountabilities

  • Prepare and issue weekly RFI and design documentation reports (status contractor milestones review outcomes).
  • Review contractors designers documentation in CDE platforms for completeness and compliance.
  • Check comment and verify metadata for uploaded documents; coordinate and resolve inconsistencies.
  • Notify stakeholders of missing or incorrect documentation ensuring timely resolution.
  • Maintain latest deliverables list from contractors; categorize and track submissions/resubmissions (e.g. using Asite Aconex or any other CDE platform).
  • Support document management within SharePoint Box and other CDE systems as required.
  • Assist with document handover processes and compliance checks.
  • Oversee and document approval workflows for all design submissions and releases.
  • Oversee document flows between design construction QA/QC commissioning commercial and operations teams.
  • Maintain a single source of truth for all project documents (drawings models ITPs test records).
  • Support the team with any trackers for PM outputs and / or design deliverables.
  • Report for document milestones (submittals approvals as-builts) to support project schedule and commissioning handovers.
  • Support to produce look-ahead and status reports to prevent document-driven hold-ups.

Qualifications & Experience:

  • Bachelors degree or equivalent in a relevant discipline (e.g. Civil Engineering Architecture Construction Management etc.) masters degree an advantage.
  • 1-3 years experience supporting project administration ideally in construction or engineering.
  • Proficiency with Microsoft Office SharePoint BIM 360 ACC and project management tools.
  • Proficient in organizing and maintaining project documentation (drawings contracts RFIs submittals etc.) and ensuring compliance with standards like ISO 9001/19650.
  • Strong organizational and communication skills.
  • Attention to detail and ability to manage and prioritize tasks.
  • English language proficiency required.
