Job Summary

Position Title: Document Controller
Location: Qatar

Safety Related Responsibilities

  • Adheres to and follows all safety policies procedures and safe work practices.

  • Always upholds the value of the Tenets of Operations in compliance with safe work practices.

  • Supports QAPCO initiatives and targets aimed at strengthening QAPCO safety performance.

  • Actively participates in departmental safety campaigns.

  • Provides support and services for other departments’ safety campaigns.

  • Participates in the QSAFE process and complies with departmental safety targets.

  • Understands the importance of training and remains compliant with QAPCO training requirements and assignments.

    General Tasks

  • Actively participate in the operation and maintenance of the Document Control Center and the Electronic Document Management Systems (EDMS).

  • Maintain the integrity of hard copy and electronic document systems.

  • Provide companywide customer support for technical and non-technical documentation.

  • Provide documentation support to various capital projects.

  • Maintain engineering document numbering equipment numbering and line numbering systems.

  • Support companywide implementation of Information Management (IM) policies and procedures as per OE requirements.

  • Support document standardization across departments including drafting formatting identification numbering coordinating review/approval processes and managing documents in EDMS.

  • Support all departments in retention archiving and disposition of company records and documents (hard copy and electronic).

  • Directly engage with the Management of Change (MOC) process.

  • Administer the Stature MOC system including user management for the entire facility.

  • Verify PSI and Non-PSI documents in MOC packages and ensure proper red-line markups are attached.

  • Coordinate with MOC originators/facilitators to resolve documentation discrepancies.

  • Coordinate with concerned Engineers for technical clarification regarding engineering document updates through MOC.

  • Coordinate with CADD and INtools groups for PSI and Non-PSI source updates.

  • Verify source-updated engineering documents red-line mark-ups and revision history; communicate discrepancies to CADD.

  • Coordinate with discipline Engineers/Head of Design Engineering/Engineering Superintendent for review/approval of engineering documents modified through MOC.

  • Immediately update PSI documents affected through MOC to ensure compliance with OE requirements.

  • Ensure up-to-date PSI documentation in EDMS for ready user access.

  • Receive validate and maintain project turnover documentation.

  • Conduct thorough verification of turnover documentation from vendors contractors and subcontractors.

  • Maintain interim library facility in the QAPCO control room until all engineering documents are migrated to EDMS.

  • Archive and manage hard copy records stored at various locations.

  • Provide documentation support to QAPCO plant personnel.

  • Attend bi-weekly meetings with the QAPCO Project Team on final data turnover.

    Customer Support Tasks

  • Scan and upload PM checklists for all Maintenance disciplines into EDMS.

  • Scan and upload checklists forms and monthly reports for all Technical department disciplines.

  • Provide scanning support for technical documents across the entire facility.

  • Provide expertise in converting engineering documents from non-editable to editable formats and manage them in EDMS.

  • Deliver additional documentation services assigned by the Supervisor.

    Basic Qualifications & Experience

  • Education: 3-year Diploma in an Engineering discipline.

  • Experience: Minimum 5 years of hands-on document control experience in the Oil & Gas industry preferably in major project implementation with an EPIC contractor.

  • Demonstrated awareness of international Oil & Gas and petrochemical industry codes and standards.

  • Experience using modern Electronic Document Management Systems (e.g. SharePoint).

    Language & Communication Skills

  • Fluent in English (written and spoken).

  • Ability to interpret operating and maintenance instructions procedures technical manuals engineering drawings P&IDs etc.

  • Ability to write routine reports and correspondence when liaising with contractors.

  • Possesses a positive attitude and strong personality.

    Computer Skills

  • Proficient in MS Office applications and EDMS (SharePoint).

  • Familiar with SAP / CMMS software applications.
