Virtual Assistant (Part-Time Remote)
About the Role
LTD Scale is seeking a highly organized and proactive Virtual Assistant to provide administrative and operational support to a growing business. This role is ideal for someone who thrives in a structured environment enjoys managing multiple priorities and takes ownership of tasks from start to finish.
Youll play a key role in supporting daily operations client communications follow-ups documentation and process management while working closely with leadership and the broader team.
Schedule
- Monday to Friday
- Preferred Hours:
- 9:00 AM 12:00 PM Pacific Time Zone or
- 9:00 AM 1:00 PM Pacific Time Zone
- Must be available to attend a weekly team meeting every Monday from 11:00 AM 12:00 PM PST
Key Responsibilities
- Provide general administrative support
- Answer and manage inbound phone calls professionally
- Monitor and respond to inquiries received through the company websites Contact Us page
- Prepare and send invoices to clients
- Send scopes of work proposals and contracts to prospective clients
- Follow up with prospects after meetings and maintain communication pipelines
- Utilize existing templates workflows and SOPs to ensure consistency
- Support HR tracking and documentation through internal systems
- Maintain accurate records and updates within company platforms
- Assist with ongoing administrative projects and process improvement initiatives
- Complete action items assigned during weekly team meetings
- Learn new processes and take on additional responsibilities as the business grows
Qualifications
- Previous experience as a Virtual Assistant Administrative Assistant Executive Assistant or similar remote support role
- Experience using is required
- Strong organizational and time management skills
- Excellent follow-up and task management abilities
- Ability to work independently with minimal supervision
- Professional written and verbal communication skills
- Comfortable managing multiple priorities and deadlines
- Detail-oriented with strong problem-solving abilities

- Client communication and customer support
- Invoicing and administrative coordination
- CRM and project management systems
- Process documentation and SOP implementation
