About the Role
We are sourcing a Virtual Assistant on behalf of an online fitness coach to support client communication social media management and backend operations. The ideal candidate has a background in fitness or the health coaching industry and can engage authentically with the clients audience.
This is a part-time remote role requiring excellent written English strong organizational skills and the ability to work independently with clear processes and templates.
Requirements
Key Responsibilities
Client Communication
Monitor and respond to incoming email enquiries for lead nurture (primary channel)
Manage WhatsApp messages from current clients answer routine questions using FAQ templates
Flag important or complex messages for the coachs direct attention
Ensure timely follow-ups with leads and nurture clients consistently
Social Media Management
Manage and schedule content across Instagram TikTok and WhatsApp
Edit short-form video content and static posts for publishing
Maintain a consistent posting schedule aligned with the coachs brand voice
Backend & Administrative Support
Navigate GoHighLevel CRM track leads update pipeline stages manage contacts
Draft and send 12 email campaigns per week via GoHighLevel for leads and nurture clients
Monitor failed PaySmart payments and flag for follow-up
Maintain and expand FAQ response templates over time
Growth & Strategy (as role develops)
Proactively bring value-add recommendations as the business grows
Support automation and system integration tasks (e.g. Zapier Kahuna) as proficiency develops
REQUIREMENTS
Essential
Background in fitness health coaching or the wellness industry
Excellent written English professional clear and on-brand
Experience with GoHighLevel CRM or similar platforms
Proficiency with Instagram TikTok and WhatsApp for business use
Strong attention to detail and ability to manage multiple priorities
Self-starter who can work independently within established SOPs
Preferred
Experience with PaySmart or similar billing/payment platforms
Familiarity with Zapier or Kahuna integrations
Prior experience supporting an online coach or course-based business
Basic video editing skills for short-form content
