Organizational Setting and Reporting Relationship

The position of Senior Financing Partnerships Assistant is assigned to the Partner Funds Division within the Climate Change and Sustainable Development Department (CCSD). CCSD leads thematic operations knowledge innovation and partnerships. You will be based at our Headquarters in Manila Philippines.

You will report to Director CCPF and/or Designated International Staff.

Your Role

As a Senior Financing Partnerships Assistant you will provide administrative support for day-to-day office administration and coordinate internal and external communication while maintaining confidentiality and practicing professional discretion.


You will:

Office Administration

o Ensure that office filing systems and records (both electronic and physical) are properly maintained and updated in accordance with an existing framework for easy retrieval.

o Act as focal for CCPFs publications pipeline K-Nexus divisions Request For Payment Requestor OneADB Today office space and supplies management and maintain SharePoint team and community sites.

o Act as an alternate for CCPFs budget and perform budget-related tasks in coordination with the division budget focal.

Coordination Logistics and Administrative Support

o Manage work calendars to ensure the effective coordination of supervisors schedules and arrange appointments meetings mission travel and accommodation as specified by the supervisors and in accordance with ADB procedures.

o Coordinate all requests for document review from project teams and other departments including timely dissemination to relevant cofinancing focals.

o Ensure that all correspondence and documents are compliant with ADBs standards all incoming mail is logged properly distributed and brought to the attention of concerned staff and that all outgoing mail is delivered on time.

Collaboration/Integration

o Provide input in various CCPF and other CCSD-wide events and activities and collaborate with various ADB clients including Resident Missions/Regional Offices to feed into the OneADB approach; provide data to ADB corporate-level documents as required.

o Assist in the delivery service to financing partners by responding to their concerns and requirements such as organizing meetings and report queries while also providing relevant information to other departments.

Data Analysis and Report Generation

o Collect and compile relevant information and data related to the division/department to produce routine and/or ad hoc statistics/reports as instructed.

o Provide information/data gathering support (e.g. charts tables background information on persons/institutions to be met) and prepare draft memoranda for internal correspondence in compliance with ADBs standards.

You will need:

Bachelors degree in business administration finance banking accounting economics or related fields.
At least 5 years work experience with at least 3 years of experience relating to administrative work.
Written and verbal proficiency in English.
Proficiency in MS Office Suite (Outlook Word Excel and PowerPoint SharePoint)
Knowledge in ADBs operations including sovereign lending products and modalities grants and technical assistance operational procedures policies cofinancing products and financing partnerships facilities.
Knowledge of ADB systems including the Consultant Management System and the Cofinancing Database. Proficiency in ADB standard software programs database and website management and other information technology platforms and systems is an advantage.
Ability to work with minimum supervision and exercise judgement on matters of confidentiality and those requiring urgent attention especially in the supervisors absence.

Additional Information

This appointment is open to internal and external applicants.

This is a fixed term appointment with option to renew initially for a period of up to 3 years or up to the Normal Retirement Date (NRD) whichever comes earlier for the purpose(s) and conditions determined by ADB in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB based on factors including but not limited to the requirement of Staffs particular blend of skills and experience for the medium-term work program of the organizational unit sufficient funding to cover the renewed period and Staffs performance and suitability for employment. There is no limit to the number of renewals up to NRD. However this appointment is not convertible to a regular appointment.
