As an Event Support Administrator within the Business Support Management team you will play a pivotal role in processing intake requests that operationalize our events and sponsorship this role you will ensure requests are handled efficiently and in compliance with firm standards collaborate with cross-functional teams and contribute to process improvements. You will help maintain our event management tools and support the teams ongoing projects and initiatives.
Job responsibilities:
- Review incoming requests to ensure alignment with the engagement plan strategy.
- Gather and store required documents and details to confirm audit compliance and completeness.
- Enter events and sponsorships into the national calendar and event management tool with strict attention to detail.
- Advise submitters of missing or inaccurate information and provide guidance on requests not in line with guidelines.
- Update budget tracking tools and complete drawdowns and adjustments in partnership with the Strategy Manager.
- Coordinate with production team members to ensure timely payment for submissions.
- Suggest process improvements to optimize intake procedures.
- Create ads and materials within the content management tool.
- Partner with Sponsorships and Donations teams Business Support Associates and Technology to ensure consistency in practices and service delivery.
- Support ad hoc projects and initiatives
Required qualifications capabilities and skills:
- Experience in a client-facing administrative or executive assistant role.
- Strong communication and interpersonal skills with the ability to provide clear messaging across all organizational levels.
- Control orientation with a focus on enforcing compliance and mitigating business process risks.
- Proficiency in Microsoft Office Suite and other relevant applications.
- Highly adaptive to integrating and using new technologies to improve operations.
- Proactive mindset with the ability to take initiative and drive results independently.
- Must be willing and able to work night shifts.
Preferred qualifications capabilities and skills:
- Experience in processing and project management with strong attention to detail.
- Willingness to understand complex processes and stakeholder hierarchies.
