Role Overview

We are seeking an organized proactive and persistent Sales Coordinator to run the B2B sales pipeline operations for a premier coffee manufacturing and contract packing specialist.

In this seat you will manage the sales execution engine so the CEO can focus exclusively on high-value client conversations. You will ensure every deal moves forward smoothlymanaging pipeline hygiene conducting market research conducting outbound outreach to Australian specialty coffee roasters and brands scheduling qualified meetings into the CEOs calendar preparing custom proposal decks and coordinating post-sale customer onboarding workflows across operations and design teams.

Key Responsibilities

1. Pipeline Management & Operational Velocity

  • Daily Next-Step Discipline: Ensure 100% of live pipeline deals have an active dated next step every single day; systematically chase reschedule or close out stale deals inactive for 14 days.

  • CEO Escalations & Call Logging: Log CEO call outcomes in the CRM (HubSpot) on the day they occur and proactively escalate any pipeline bottleneck that has been waiting on executive review for more than 3 days.

  • Weekly Pipeline Reporting: Prepare and deliver a weekly executive pipeline review pack outlining deal movements stalled accounts and required decision points.

2. Outbound Outreach & CEO Calendar Management

  • Template Outbound: Execute multi-channel outbound email and LinkedIn outreach to prospective clients using approved templates under your company email address.

  • Meeting Booking: Manage and convert warm inquiries to book qualified discovery and proposal meetings directly into the CEOs calendar.

  • Material Coordination: Coordinate sample dispatch with the internal operations team ensuring product samples and marketing materials reach prospects promptly.

3. Prospect Research & Meeting Preparation

  • Target List Building: Research score and maintain target lists of Australian specialty coffee roasters and brands against established qualification rubrics.

  • Pre-Meeting Intelligence: Conduct deep background research on prospects prior to CEO callsidentifying existing contract packers product offerings and recent company news.

  • Proposal Tailoring: Customize client proposal decks and presentation materials from master templates ahead of sales calls.

4. Onboarding & Cross-Departmental Coordination

  • Customer Onboarding Workflows: Manage administrative onboarding sequences for newly closed accounts.

  • Cross-Functional Collaboration: Partner with the operations team to finalize product specifications/freight logistics and coordinate with the design team to ensure artwork sign-offs stay on schedule.

Boundary Rules & Commercial Limits

To ensure role clarity this position focuses purely on pipeline momentum and execution velocity. The Sales Coordinator does not:

  • Set or negotiate commercial pricing margins or discount structures.

  • Lead discovery calls or negotiate terms directly with prospects.

  • Commit the company to production lead times minimum order volumes or contractual terms.

  • Contact existing major strategic accounts without explicit executive direction.

Required Skills & Qualifications
  • Written Communication Excellence: Exceptional written English skills with the ability to draft professional articulate correspondence for discerning Australian business owners and brand founders.

  • CRM Proficiency: Direct hands-on experience managing CRM pipelines tasks filtered views and deal stages (experience with HubSpot is strongly preferred).

  • Systematic Organization & Follow-Through: Meticulous attention to detail and daily consistency in tracking multi-variable schedules and task lists.

  • Executive Presence & Assertiveness: Comfortable proactively communicating with internal leadership to resolve pipeline bottlenecks and keep deals moving forward.

  • Time Zone Alignment: Full daily availability to work standard business hours aligned with Adelaide Australia (ACST) time.

Preferred Qualifications
  • Background in B2B sales support sales operations SDR/BDR functions or account coordination.

  • Prior experience or familiarity with the FMCG food/beverage manufacturing specialty coffee or contract packaging sectors.

Success Metrics (KPIs)
  • Qualified CEO Meetings Booked: Consistently driving qualified meetings into the CEOs calendar (Primary KPI).

  • Active Pipeline Integrity: Maintaining 100% of live deals with a dated next step and zero unaddressed deals sitting stale for 14 days.

  • Executive Bottleneck Resolution: Zero pipeline deals waiting on CEO input for more than 3 business days.

  • Target List Expansion: Consistently adding qualified target roasters and brand leads to the CRM pipeline each week.
