Description

The Procurement & Admin Services Intern is embedded directly into active operational projects as a junior team member through our structured Coach-In Pipeline Program. Operating within an Agile Generalist department model across multi-site facilities in Makati Mabalacat and Angeles you will shadow and assist Procurement & Admin Services Specialists in executing end-to-end supply chain facilities and statutory compliance functions. This role is designed to build high operational maturity isolating enterprise purchasing risk driving vendor SLA governance and serving as a direct talent pipeline for a full-time Procurement & Admin Services Specialist position.

Responsibilities & Duties:
  1. Sourcing & Supply Chain Execution:
  • Support the vendor competitive bidding process and assist with processing Purchase Requisitions (PR) into Purchase Orders (PO) via Jira Service Desk adhering to SLA turn-around time.
  • Facilitate vendor vetting and vendor selection alongside business requesters.
  • Maintain and update the enterprise central vendor database for accurate records.
  • Vendor Management & SLA Governance:
    • Track vendor on-time delivery metrics against the departmental SLA targets.
    • Support receiving QA inspections at site hubs and assist in tracking Service Level Credits or contractual penalties for vendor defaults.
  • Facilities & Day-to-Day Workspace Reliability:
    • Participate in routine site walk-throughs to measure and log workplace satisfaction touchpoints (HVAC lighting cleanliness seating comfort).
    • Assist in tracking seat occupancy metrics and hot-desking allocations across multi-site locations.
  • Statutory Compliance & Regulatory Support:
    • Log and format PEZA forms and gate passes for asset transits.
    • Maintain Privacy Impact Assessment (PIA) tracking sheets to ensure strict compliance with National Privacy Commission (NPC) requirements.
    • Organize document filings for multi-LGU compliance including Mayors Permits FSICs and Sanitary Permits.


    Requirements

    • Currently pursuing a Bachelors Degree in Supply Chain Management Business Administration Industrial Engineering Real Estate/Facilities Management or a related field requiring academic On-the-Job Training (OJT).
    • Proficient in MS Excel / Google Sheets
    • Strong written and verbal English communication skills for cross-departmental coordination and vendor interactions.
    • Demonstrated detail-orientation high accountability and enthusiasm.

    Educational Requirements & Certifications:
    • Active enrollment in an accredited University or Higher Education Institution (HEI) requiring an OJT/Internship unit.
    • Valid endorsement letter and Memorandum of Agreement (MOA) from the academic institution.
