Practice Manager

We are seeking a dynamic forward-thinking and experienced Practice Manager who will lead operations and drive this technology evolution alongside client who are ready to invest heavily in process automation AI-assisted workflows and a modern tech stack.

This is not a traditional practice manager role. While you will own the day-to-day operations of a busy practice you will also have a genuine mandate to rethink how we work. You will lead our transition into AI tools optimize our technology stack and eliminate manual friction across financial planning and mortgage broking workflows.

The client will migrate the current data they have (from current CRM) to another eventually; you will part of that migration moving forward.

• Schedule: Monday to Friday 7 AM 4 PM (PH Time)
• Work Set up: Work-from-Home
• Salary range: PHP 120000 - 180000

In this role you will:

• Oversee day-to-day operations across financial planning and mortgage broking service lines to ensure compliant high-quality delivery.
• Manage end-to-end client onboarding file administration and documentation in alignment with AFSL standards.
• Actively prepare review and finalize Statements of Advice (SOAs) and Records of Advice (ROAs).
• Ensure strict adherence to licensing obligations FDS tracking and ongoing review schedules liaising directly with external compliance consultants.
• Own the firms software stack (Xplan Worksorted Marloo) to configure and build best-practice workflows.
• Integrate and champion AI tools (e.g. Marloo ChatGPT Claude) to automate repeatable tasks reduce manual effort and improve document quality.
• Automate client communications data entry compliance tracking and reporting pipelines.
• Build and document Standard Operating Procedures (SOPs) to facilitate seamless firm scaling.
• Deliver an empathetic exceptional experience when interacting directly with clients.
• Maintain strong working relationships with external partners including lenders platforms software vendors and product providers.
• Support client engagement initiatives and practice growth workflows.

Were Looking for Someone Who has:

• At least 5 years in as Senior Paraplanner Senior Financial Planning Assistant Practice Manager or Operations Lead in AU Financial Planning
• Solid understanding of Australian financial planning regulations AFSL standards FDS obligations and SOA/ROA preparation.
• Enthusiastic about technology and AI with a drive to implement tools that increase operational efficiency.
• Prior experience in a multi-disciplinary firm combining both Financial Planning and Mortgage Broking.
• Exposure to SMSF or complex multi-strategy advice structures. End-to-end loan administration experience in a mortgage broking context.

Technical Skills:

• Strong proficiency in Xplan (experience with Work sorted Marloo or RetireMap is highly regarded).
• IRESS XTOOLS (with CRM tool - Xplan) Experience (comprehensive financial planning and wealth management software for advice practices)
• Hands-on experience implementing AI tools (ChatGPT Claude etc.) in a professional services setup.

Non-Negotiables:

• Excellent written/verbal communication skills and a proactive problem-solving ownership mindset.
• AU experience is a must
