A growing healthcare organization is seeking a highly disciplined and proactive Patient Access and Records Coordinator to support patient scheduling operations and medical records management.
This is a process-driven administrative support role requiring urgency persistence accountability and strong follow-through. The primary focus of the role is obtaining patient medical records ahead of scheduled appointments while ensuring excellent communication and responsiveness with patients and internal staff.
Role Overview
The Patient Access and Records Coordinator will own the end-to-end process of securing patient medical records prior to appointments. This includes initiating records requests immediately after scheduling performing consistent follow-up maintaining accurate documentation and escalating issues proactively when delays occur.
In addition to records coordination this role will support inbound patient calls basic scheduling assistance and patient communication.
This role is best suited for someone who thrives in structured accountability-driven environments and takes ownership of tasks until they are fully completed.
Key Responsibilities
Own the full process of obtaining patient medical records
Initiate records requests immediately upon patient scheduling
Follow up consistently through phone email and fax until records are received
Maintain detailed and accurate tracking of all outreach efforts
Ensure records are received organized and uploaded prior to appointments
Escalate delays or barriers proactively
Answer inbound patient calls professionally and efficiently
Assist with patient communication and scheduling support
Maintain responsiveness and communication throughout working hours
Required Hard Skills
Minimum 2 years of call center or high-volume phone experience
Strong verbal and written English communication
Ability to manage high follow-up volume independently
Experience with EMR/EHR or healthcare administrative systems
Prior remote healthcare support experience
What Success Looks Like
Medical records are obtained well ahead of appointments
Inbound calls are answered or returned promptly
Minimal supervision required
Strong communication and responsiveness
Accurate documentation and follow-through
Consistent ownership of assigned tasks
