The Office Admin is responsible for developing managing and maintaining all engineering document control systems.
Key responsibilities:
- Support engineering activities maintain and update project documentation and assist with daily project operations while addressing any additional client-requested requirements to ensure timely and effective delivery of project objectives.
- Timely accurate and efficient preparation and management of documents. Gather log and distribute various engineering documents
- Manage the numbering sorting filing storing and retrieval of both electronic and hard copy documents produced by technical teams projects or departments
- Track and expedite documentation including deviations that are controlled and traceable
- Maintain established files of drawings and correspondence. Logs and routes interdisciplinary checks and supplier data.
- Create and maintain distribution matrices
- Interface with project personnel and clients and work effectively in a multi-discipline team environment
- Ensure project document control standards and issued documentation meets the contract requirements
- Evaluate existing document management systems and procedures in order to streamline the effectiveness
- Assist in creating new policies and procedures that deal with document storage sharing sending and destruction
- Perform other responsibilities associated with this position as may be appropriate.
Qualifications to be successful in the role
- Bachelors degree or equivalent experience in Business Administration Office Management or a related field
- At least 12 years of experience in office administration clerical support or administrative coordination
- Familiarity with documentation processes and administrative works
- Ability to drive both manual and automatic vehicles with a valid drivers license
- Strong organizational and time-management skills with the ability to handle multiple tasks efficiently
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office applications (Word Excel PowerPoint and Outlook) and other office management software
- Ability to maintain confidentiality and handle sensitive information professionally
- Strong attention to detail and problem-solving abilities
- Ability to work independently and collaboratively within a team environment
- Professional attitude reliability and strong interpersonal skills
