SET UP: ON-SITE

LOCATION: MAKATI

SHIFT: NIGHTSHIFT (9PM-6AM)

ELIGIBILITY: FILIPINO CITIZEN

The HR Coordinator is responsible for the day-to-day administration of employee lifecycle activities employee support services employment documentation and HR administrative processes. This role serves as a primary point of contact for routine employee requests and ensures timely and accurate completion of onboarding offboarding employment verification and related administrative activities while maintaining accurate employee records and providing excellent employee service.

Responsibilities

Employee Lifecycle Administration

  • Coordinate onboarding documentation for newly hired employees and ensure required pre-employment requirements are collected and validated.
  • Prepare new hire onboarding files and employment documents ensuring information is complete and accurate.
  • Update employee masterlists and employee information records to reflect changes accurately and timely.
  • Process employee status changes and maintain required supporting documentation.
  • Prepare resignation and separation paperwork and support offboarding documentation and employee exit administration.
  • Maintain employee administration trackers and logs to ensure accurate tracking of employee lifecycle activities.

Employment Verification & Documentation

  • Prepare and issue Certificates of Employment (COEs) in accordance with established processes and timelines.
  • Process employment verification requests from banks embassies financial institutions prospective employers housing and auto loan providers and other authorized external stakeholders.
  • Verify employee data and employment records before releasing employment-related documentation.
  • Respond to employee and external stakeholder requests for employment documentation while maintaining confidentiality and data privacy.
  • Coordinate background checks and employment screening activities and follow up on outstanding requirements.

Employee Services Administration

  • Serve as a primary contact for routine HR administrative inquiries and provide timely assistance regarding HR processes and documentation.
  • Provide HR forms and assist employees with form completion to ensure accurate and timely processing.
  • Assist employees with loan documentation and other employment-related documentation requirements.
  • Coordinate ATM card requests and distribution and maintain appropriate tracking records.
  • Support employee document retrieval requests and company ID administration as applicable.
  • Coordinate employee travel-related administrative requirements and ensure required documentation is completed within established timelines.

Employee Support & Shared Services

  • Respond to employee inquiries regarding HR processes documentation onboarding offboarding and employee services.
  • Assist employees with onboarding and offboarding questions and provide appropriate guidance or direction.
  • Maintain employee service logs and case tracking to ensure requests are monitored and completed timely.
  • Escalate statutory compliance government benefits and other specialized HR concerns to the Sr. HR Coordinator.
  • Provide backup support for government benefits administration government claims processing and compliance reporting.
  • Support continuous improvement of employee services processes by identifying administrative gaps recurring issues and opportunities to improve efficiency and employee experience.
  • Maintain accurate organized and confidential employee records in accordance with established HR policies procedures and data privacy requirements.
Qualifications
  1. Associate degree or equivalent education in Human Resources Business Administration or a related field preferred.
  2. 12 years of experience in HR administration employee services shared services or a related administrative role preferred.
  3. Experience supporting employee lifecycle activities HR documentation employee records or employee service requests preferred.
  4. Strong attention to detail and ability to maintain accurate and confidential employee information.
  5. Strong organizational and time-management skills with the ability to manage multiple requests and deadlines.
  6. Effective written and verbal communication skills with a strong customer-service orientation.
  7. Ability to handle sensitive employee information with discretion and professionalism.
  8. Proficiency in Microsoft Office or comparable productivity tools.
  9. Ability to follow established processes and procedures while appropriately escalating issues requiring additional support.
